ONBOARDING SPECIALIST

As part of a diverse and hardworking team of specialists you will support the relationship between when a candidate signs and offer letter to their first day. This involves managing a mix of a virtual and onsite candidates to support the entire onboarding experience such as maintaining a pre-hire portal, all pre-hire communications and onboarding presentation. This individual will ensure we are meeting ITAR and I-9 requirements and attend all onboarding meetings. 

WHAT YOU’LL GET TO DO:

  • Manage candidate onboarding activities from offer acceptance through Day One, ensuring all requirements are completed accurately and on time
  • Prepare, audit, and distribute offer letters to ensure accuracy, compliance, and alignment with approved terms
  • Partner closely with the Talent Acquisition team to support a seamless transition from offer acceptance into onboarding
  • Coordinate, review and clear background checks, including communicating required documentation requirements and resolving issues as they arise
  • Communicate directly with candidates regarding onboarding and compliance documentation needed to successfully pass background checks
  • Collaborate with internal stakeholders (Talent Acquisition, Hiring Managers, HR, IT, Security) to prepare candidates for a smooth and well-organized first day
  • Track and manage onboarding inquiries through the standard ticketing system, ensuring accurate reporting and metric capture
  • Identify and recommend opportunities to improve, simplify, or automate onboarding processes, tools, and documentation
  • Support additional onboarding-related tasks as assigned by leader

YOU’LL BRING THESE QUALIFICATIONS:

  • HS Diploma and 4+ years of HR experience
  • Experience onboarding in Workday
  • Experience using Workday as an HRIS
  • Must be a U.S. citizen or national, U.S. permanent resident (current Green Card holder), or lawfully admitted into the U.S. as a refugee or granted asylum. 

THESE QUALIFICATIONS WOULD BE NICE TO HAVE:

  • Experience supporting onboarding for multiple locations
  • Experience crafting and managing pre-hire communications
  • Experience managing I-9 federal compliance requirements
  • Excellent written and verbal communication skills
  • Excellent presentation skills
  • Ability to earn trust, maintain positive and professional relationships, and contribute to a culture of inclusion

ADDITIONAL REQUIREMENTS:

  • Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, and the ability to focus.   
  • Regularly required to sit, use hands and fingers, operate computer keyboard and controls, and communicate verbally and in writing.  
  • Must be physically able to commute to buildings 
  • Occasional exposure to dust, fumes and moderate levels of noise

Level and base salary will be determined on a case-by-case basis and may vary based on the following considerations: job-related knowledge and skills, education, and experience.
