JOB DESCRIPTION

We are seeking a highly organized and proactive Office Manager to serve as a critical hub across our operations, HR, finance, events, and administrative functions. This role is ideal for a dynamic individual who thrives in a fast-paced environment and is passionate about streamlining processes, supporting cross-functional teams, and ensuring day-to-day business runs smoothly. The Office Manager will work directly with the CEO and play a key role in keeping our company culture strong, operations efficient, and external partnerships organized.

Responsibilities

Human Resources

  • Lead end-to-end recruiting, screening, and onboarding efforts
  • Maintain up-to-date and confidential personnel records via BambooHR
  • Create and enforce internal HR policies and procedures
  • Administer benefits and support employee-related inquiries

Administrative Support

  • Oversee calendar management for the CEO and company-wide meetings
  • Draft, proofread, and distribute company-wide communications and documents
  • Ensure the smooth flow of information and operations across departments
  • Coordinate office logistics - from organizing annual holiday gifts to placing twice-monthly Costco orders, keeping snacks & supplies stocked.
  • Act as the primary point of contact for building management and vendors, handling maintenance requests, shipping/receiving, and other day-to-day facility needs.

Events & Culture

  • Plan and execute internal team events, offsites, and celebrations
  • Manage logistics and registrations for career fairs and external company events
  • Coordinate travel and accommodations for staff and job fair teams

Accounting & Finance

  • Support basic accounting tasks such as preparing new vendor forms, assisting with vendor payments, and managing invoices and expenses. Familiarity with QuickBooks Online is preferred.

QUALIFICATIONS

  • 2-4 years of experience in an office manager, operations, or administrative role
  • Experience working in startups, agencies, or fast-paced environments preferred
  • Proficiency with tools including QuickBooks Online, BambooHR, Stripe, Google Suite, and Teams
  • Exceptional written and verbal communication skills
  • Highly organized, detail-oriented, and solution-focused
  • Ability to handle confidential information with professionalism and discretion
