As GreenSlate's Office Manager and People Operations Assistant, you will be the face and function of our Burbank office, greeting visitors, managing calls, and keeping day-to-day operations running smoothly. You will also partner closely with the People Operations team to support employee engagement, onboarding, benefits administration, labor law compliance, and company-wide event planning. In this role, you will provide backup support to our Payroll Operations team, helping ensure payroll-related mailings and E-Verify tasks are completed accurately and on time. Your work keeps our people supported and our office running efficiently, directly enabling the teams that power GreenSlate's mission to modernize entertainment payroll and production accounting.

This is an in-office position based in Burbank, California.

WHAT WE EXPECT FROM YOU
  • Answer and route incoming calls, greet visitors, and handle general inquiries to ensure smooth office operations
  • Assist with general office tasks, including managing office supplies, scheduling meetings, and maintaining a clean, organized office environment
  • Prepare for on-site client and other guest meetings in the office
  • Assist the People Operations team with administrative tasks and employee engagement, including but not limited to:
    • Tracking annual employee training
    • Creating calendars and communications for holidays and payroll dates
    • Responding to external unemployment insurance claims
    • Maintaining labor law poster compliance for remote and in-office employees
    • Assisting the benefits team with employee benefits questions and medical support notices
    • Leading the onboarding process for new employees
    • Maintaining the company intranet site
    • Coordinating GreenSlate gear for new and current employees
  • Plan in-office and virtual events regionally and company-wide with People Operations and the Social Committee
  • Provide support to various departments as needed, ensuring tasks are completed efficiently and in a timely manner
  • Provide support to the Payroll Operations department as the backup for Payroll Assistants, including but not limited to: timely outgoing payroll-related checks, FedEx, priority mailing, messengers, and E-Verify
  • Be the main point of contact for the other GreenSlate office locations for ordering office supplies
WHO YOU ARE
  • 1-2 years of experience in office administration and/or People Operations (HR) support is preferred
  • A highly motivated self-starter capable of tactical execution in a fast-paced environment, with the ability to make independent, proactive decisions and deliver high-quality work with sound judgment
  • Strong communication and interpersonal skills, along with a friendly and professional demeanor for handling phone calls and office visitors
  • Excellent organizational and multitasking abilities
  • Proficiency with Google Suite
  • Ability to handle confidential information with discretion and to act with integrity and professionalism
  • Ability to work in the office from 9:00-6:00 PST Monday-Friday

SALARY RANGE:

$24.00 to $26.45/hr plus overtime

Occasionally called upon to work hours in excess of the normal daily schedule.  The employee may need the ability to lift up to 50 pounds.
