We are seeking an organized and proactive Office & Event Coordinator to plan, coordinate, and execute company-wide events and employee engagement initiatives for our US and Chicago-based team members.  This role enhances the overall employee experiences while supporting both our Chicago office and global teams.

Responsibilities:

Event Planning:

  • Organize and manage US components of global and regional events including securing venues, catering, and managing on-site logistics for both annual and team specific initiatives
  • Serve as the on-site contact for event bookings, greet attendees, and ensure employee experience
  • Assist with meeting room set up/break down, including audio-visual and other technology needs.
  • Plan and execute various virtual events for remote US and global team members
  • Examples of events: Annual kick-off event (US component), annual go-to-market (GTM) conference, spring and fall team summits, March Madness brackets, holiday celebrations, Kids Day, Summer Picnic

Employee Experience:

  • Manage employee merch distribution and coordinate anniversary celebrations
  • Prepare and distribute new hire packages for our US-based hires
  • Organize weekly office lunches for the Chicago office

Office and Facilities Management:

  • Manage the relationship with our building for office space, meeting arrangements, and services.
  • Oversee badge and visitor access management, coordinate building maintenance, and support on-site IT needs

Qualifications:

  • Experience in event planning, office coordination, or employee experience coordination (or demonstrable skills in these areas) 
  • Strong organizational and multitasking skills with attention to detail
  • Excellent communication and interpersonal skills
  • Creative, adaptable, and able to think outside the box
  • Ability to manage multiple projects and deadlines simultaneously
  • Experience working with external vendors and internal stakeholders
  • Ability to adapt to a fast-paced work environment and problem-solve on the spot

Details:

  • Contractor
  • Part-time, up to 20 hours/week. Flexible schedule with in-office attendance once per week on Thursday (remote other days)
  • Location: Chicago, IL

The hourly rate for this position ranges from $25 to $30, and the final compensation will be determined based on experience, seniority, and other relevant factors.
