The Office Assistant will be the support of TeleSign by maintaining internal office and facility operations. You will help keep the lights on by supporting our offices in both Los Angeles and Sunnyvale while occasionally coordinating with teams outside the US. You should have a passion to handle multiple projects, possess a healthy sense of urgency and be able to adapt to changing priorities.
Responsibilities:
• Manage all aspects of the office operations, such as catering orders, event planning, BOD meetings, office supply and kitchen inventory orders, etc.
• Perform general reception tasks, including answering calls, receiving and mailing packages, and visitor check-ins.
• Oversee TeleSign’s travel operation, including but not limited to, corporate apartment scheduling, AirBnB booking and inquires, corporate hotel reservations, and employee traveling assistance.
• Responsible for planning, managing and hosting events, including but not limited to, holiday parties, monthly happy hour, weekly breakfasts, team building events etc.
• Responsible for facility management and vendor management, including but not limited to, scheduling of repairs, maintenance and service requests.
• Establish and manage communications within the office administrative function.
• Provide support to the HR team during recruiting events or meetups when requested.
• Handle Executive’s scheduling when required.
• Participate in occasional projects from other departments.
• Directs and manages third party and in house cleaning personnel for general office space/common area cleaning and event specific cleaning.
• Handle action items for onboarding and off-boarding of new hires.
• Perform other duties as assigned.
Requirements:
• Excellent communication, organizational and project management skills
• Strong prioritization skills are essential for this role
• Must be a self-starter with a proactive mindset
• Curious and proactive with a strong desire to learn and consistently take on additional responsibility
• Strong knowledge of MS Office, including Word, Excel, PowerPoint, and Outlook
