The Impact of a Manager, Proposal Management at Coupa:
The Proposal Leader is responsible for coordinating the end-to-end lifecycle of prospect/customer RFX bids for Coupa. This leader is responsible for managing a team of proposal analysts and supporting multiple opportunity workstreams in parallel. This role governs the bid process from qualification through handoff to ensuring completeness of responses and adherence to deliverable timelines, quality standards, and governance requirements.
A core component of this role is to leverage Loopio and Google Gemini AI to help manage proposal content, collaborate with cross-functional stakeholders, and ensure accurate, consistent, and compliant responses. The Proposal Leader assembles and leads bid teams, working closely with Sales, executive stakeholders, and cross-functional partners to deliver high-quality, compelling proposals.
This role also defines, executes, and maintains bid management globally and across segments to adhere to best practices, identify opportunities for process improvement, and to drive continuous optimization of the proposal function.
What You'll Do:
- Bid & Proposal Management
- Project manage the end-to-end bid process with all key stakeholders to ensure on-time submission of compliant and compelling bids
- Govern the bid process from qualification through RFX and Security response handoffs, ensuring process consistency and stakeholder accountability
- Manage multiple stakeholders while maintaining accuracy, quality, and adherence to timelines for qualified opportunities
- Cross-Functional Collaboration
- Manage a virtual team of Proposal Analysts and coordinate contributions from key stakeholders, including Sales, Marketing, Product, Finance, Delivery, Implementation, Legal, and IT/Security
- Use Loopio to assign questions, track progress, follow up with subject matter experts, and resolve bottlenecks
- Organize and lead bid-related meetings, ensuring alignment across all contributors
- Clearly communicate to Sales Leaders and Account Executives when a no-bid response is decided for unqualified and short-turnaround proposal requests
- Content Development & Quality
- Contribute to written proposal content, leveraging Loopio’s content library to ensure consistency, reuse of approved responses, and alignment with win themes
- Identify content gaps within Loopio and work with subject matter experts to develop and maintain high-quality responses
- Ensure proposal gaps, risks, and compliance issues are identified and addressed in a timely manner
- Ensure quality of AI responses using Google Gemini and NotebookLM to assist in proposal and security review responses
- Partner with Sales Leaders to develop clear and compelling win strategies, ensuring themes are woven throughout proposal and presentation materials
- Coordinate materials and logistics for all bid-related presentations
- Work with our SMEs to periodically ensure that our response content is current and accurate
What You Will Bring to Coupa:
- Bachelor’s degree in Business Administration (or related), Writing, English, Communications, or a related field preferred
- 3+ years of proposal management experience, preferably within the technology or SAAS Spend Management industry
- Hands-on experience using Loopio (or similar RFP response management platforms) is required
- Strong understanding of project management frameworks and structured bid governance
- Excellent written and verbal communication, organizational, and interpersonal skills
- Proven ability to manage multiple, complex projects to successful completion
- Demonstrated ability to lead cross-functional teams and drive change
- Strong problem-solving skills, attention to detail, and risk management capability
- Creative, innovative thinker with a continuous improvement mindset
- Reliable, adaptable, and comfortable working in fast-paced, deadline-driven environments
- Strong relationship-building, influencing, and teamwork skills
