Job Description:

About You 

We are looking for candidates with a minimum of five years’ experience (see below). You are excited by the prospect of working on award winning accounts, passionate about being part of a high performing team and being integral to an achieving agency. You are also confident, motivated, have excellent attention to detail and looking forward to working in the industry.

  • Bachelor’s degree required
  • 5+ years of experience in corporate communications, program management, or a Chief of Staff–type role
  • Experience managing websites and guest registration platforms
  • Exceptional client service and interpersonal skills, with experience supporting senior leaders and executives
  • Proven experience supporting high-level corporate events and hospitality programs
  • Excellent verbal and written communication skills, including the ability to influence without direct authority
  • Strong organizational and project management skills, with the ability to manage complex, cross-functional initiatives
  • High emotional intelligence and discretion in handling confidential or sensitive information
  • Hands-on experience managing event logistics (guest trackers, rooming lists, transportation manifests)
  • Ability to manage multiple projects and communication streams simultaneously in a fast-paced environment
  • Experience building and delivering presentations
  • Willingness and ability to travel frequently, including weekdays and weekends

Key Responsibilities

  • Manage daily communications related to sponsorship programs, serving as the primary point of contact and face of the client company
  • Act as a strategic “right hand” to the client by optimizing their time, driving high-priority initiatives, and bridging communication between leadership and client needs
  • Draft key documents, prepare briefing materials, and serve as a spokesperson for the client when appropriate
  • Represent both client and company in guest-facing problem-solving to deliver first-class hospitality experiences
  • Operate as a Chief of Staff level by making strategic decisions, leading cross-functional projects, and managing client needs beyond day-to-day administrative needs
  • Prepare and manage event registration timelines and platforms, ensuring accuracy and on-time execution
  • Manage event websites and on-site guest materials; advise clients on registration statuses
  • Create client-ready registration documentation, personalized itineraries, and detailed guest plans
  • Lead client conference calls and meetings; design and prepare presentations and written communications
  • Conduct on-site management of corporate hospitality events, with a primary focus on in-person guest registration and experience flow
  • Evaluate event outcomes, identify areas for improvement, and provide forward-looking strategic recommendations to partners

The annual salary range for this position is $72,000- $82,800 annually. Placement within the salary range is based on a variety of factors, including relevant experience, and other factors permitted by law.
