As the Luxury Travel Advisor Executive Assistant, you will play a pivotal role in enhancing productivity by handling correspondence, managing client communications, assisting with itinerary planning, itineraries and invoicing. You will work closely with our lead travel advisor to ensure every detail of client journeys is executed flawlessly, contributing to the company's reputation for excellence. Responsibilities- Manage and coordinate complex calendars, appointments, and travel arrangements.
- Prepare and edit correspondence, communications, presentations, and other documents including detailed itineraries.
- Coordinate and organize client meetings, ensuring all logistics and materials are handled efficiently.
- Assist in itinerary planning and development to support luxury travel experiences.
- Handle confidential information with discretion and maintain professionalism at all times.
- Act as a liaison between clients and travel advisors as well asthird-party vendors to ensure smooth communication and coordination.
- Monitor and respond to emails and phone calls on behalf of of the company, prioritizing urgent matters.
- Support administrative tasks such as expense reporting, invoice tracking, and database management.
Requirements
- Proven experience as an executive assistant within the luxury travel or hospitality industry.
- Exceptional organizational and time-management skills with the ability to manage multiple priorities effectively.
- Strong written and verbal communication skills, demonstrating professionalism and clarity.
- Proficiency in Microsoft Office Suite and travel planning software, Axus, Sion and Tres would be a bonus.
- Ability to work independently with a proactive approach to problem-solving and decision-making.
- Excellent interpersonal skills with a client-focused attitude and the ability to build strong relationships.
- High level of discretion and confidentiality in handling sensitive information.
- Flexibility to adapt to changing priorities and a fast-paced work environment.
