Position Summary

California, Remote

The Logistics Specialist will play a critical role in the coordination and management of compliance and logistics for both inbound and outbound PSS hardware shipments for Thales North America (NORAM). Leveraging expertise with Thales Cogent LiveScan systems, logistics, customs, and trade compliance, the candidate will ensure seamless operations by utilizing 3PL couriers and interacting with Trade Compliance to facilitate customs release.

The ideal candidate will possess a strong aptitude for logistical coordination, a thorough understanding of trade compliance, and the ability to work independently while fostering collaborative relationships across multiple teams and stakeholders.

This position will require successfully completing a post-offer background check. Qualified candidates with criminal history will be considered and are not automatically disqualified, consistent with applicable federal law, state law (the California Fair Chance Act), and local ordinances (San Francisco Fair Chance Ordinance, City of Los Angeles’ Fair Chance Initiative for Hiring Ordinance, and Los Angeles County’s Fair Chance Ordinance for Employers).

Key Areas of Responsibility

Logistics Management (50%)

  • Manage carrier accounts, including FedEx, DHL, Radiant, and Koch, for Thales PSS NORAM.

  • Coordinate shipments from 3PL, Pasadena, Canada, and other remote sites in NORAM and globally for inbound hardware returns to the US.

  • Provide consulting services to Supply Chain Order Management and remote PSS Delivery Teams on logistics-related matters.

  • Ensure compliance with US Export Control regulations for international shipments.

  • Manually create Commercial Invoices for exports from the US and Canada as needed.

  • Develop and maintain dashboards to track and report on logistics data, SLAs, and KPIs for on-time hardware delivery.

  • Monitor multiple carrier accounts for invoice accuracy, audit invoices, and prepare them for payment via CASS.

  • Attend weekly backlog review meetings with 3PL program management and lead logistics-related activities with the 3PL and CASS.

  • Monitor logistics expenditures, identifying areas for improvement and cost reduction initiatives.

RMA Coordination for Hardware Warranty (30%)

  • Collaborate with the 3PL Fulfillment Center and Thales PSS Order Management to review RMA orders, initiate work orders, provide ship commitment dates, and ensure on-time delivery.

  • Monitor Thales systems (JIRA, ServiceNow) for RMA requests, updating them upon completion of actions/shipments.

  • Interface with Global PSS Maintenance & Repair teams to meet RMA objectives, providing timely responses to RMA requests via email or JIRA/ServiceNow.

  • Maintain a database of RMA activities, recording shipment data, JIRA ticket information, and resolution notes for data analysis.

  • Ensure accurate inventory levels for RMA spare parts in Pasadena and 3PL warehouse locations.

  • Collaborate with Thales Sourcing to initiate outsourced repair jobs with third-party hardware manufacturers for hardware under vendor warranty.

Customs & Trade Compliance (20%)

  • Work with NORAM Trade Compliance Managers to ensure adherence to standardized import and export processes.

  • Review all export shipments to identify controlled hardware and hazardous materials (e.g., batteries).

  • Collaborate with Trade Compliance experts to obtain necessary licenses for controlled hardware exports from the US.

  • Possess a comprehensive understanding of HTS codes and their application in international trade.

  • Facilitate customs clearance for imports by providing required documentation and data, such as Commercial Invoices (CI), Certificates of Origin (COO), and HTS Codes.

Other Responsibilities:

  • Create Pivot Tables and manage large databases in Excel; conduct in-depth analysis of sales order and shipment data using Excel formulas and scenarios, with data imported from Business Intelligence reports, Microsoft Dynamics, Oracle ERP, and SSRS business reports.

  • Serve as a backup for other Supply Chain planning functions, such as procurement and order management.

  • Perform ad hoc Supply Chain-related duties and projects as assigned.

Minimum Qualifications

  • Bachelor's degree with 2 years of relevant work experience, or 5 years of experience in logistics, supply chain, manufacturing environment for electronic hard goods, or warehousing.

  • Demonstrable knowledge of US Customs rules and regulations for imports and exports.

  • Proven ability and extensive hands-on experience with the Oracle EBS ERP system.

  • Working knowledge of FedEx and DHL online account management solutions.

  • Strong problem-solving skills and the ability to work independently with minimal supervision.

  • In-depth knowledge of Cogent LiveScan hardware and system components.

  • Expert-level proficiency in Microsoft Excel, PowerPoint, and Oracle EBS.

  • Hands-on experience with order placement at 3PL fulfillment centers.

  • Experience with the creation of Purchase Requisitions and Internal Requisitions.

  • Proactive, well-organized, and capable of efficiently prioritizing tasks.

  • Highly-developed interpersonal and communication skills, with expertise in dealing with international Thales entities, such as the Thales factories in Tianjin and Italy.

  • Ability to manage flexible workloads and work effectively under time constraints.

The anticipated TTC range for this role is $60,405.00 - $98,009.00 USD Annual. The Company reserves the right to ultimately pay more or less than the posted range and offer additional benefits and other compensation, depending on circumstances not related to an applicant’s status protected by local, state, or federal law.
