ROLE OVERVIEW

The Leave of Absence Specialist (LOAS) is responsible for managing the administration and guidance of employee leave of absence (LOA) requests, including FMLA, long-term disability, and other company leave policies. The LOAS serves as the main point of contact for employees and HR, ensuring that LOA processes are followed efficiently, consistently, and in compliance with federal, state, and local regulations.

KEY RESPONSIBILITIES

  • Manage and oversee all aspects of employee leaves of absence, including FMLA, long-term disability (LTD), military leave, personal leave and other types of leaves.
  • Ensure that all LOA requests are processed accurately and within the required timeframes, in accordance with company policy and applicable laws.
  • Provide guidance and support to the HR team on LOA policies, procedures, and legal requirements.
  • Assist the HR team by addressing any employee concerns related to leaves of absence and ensure that all employee leave requests are handled in a compliant, empathetic, and consistent manner.
  • Maintain accurate and up-to-date records of all LOA requests, approvals, and related correspondence.
  • Ensure all LOA practices are compliant with applicable federal, state, and local laws, including FMLA, ADA, and other leave-related legislation.
  • Track and report on LOA trends, including leave duration, types of leave taken, and return-to-work status to HR leadership.
  • Identify opportunities to streamline LOA processes and improve employee experiences related to leaves of absence.

ROLE REQUIREMENTS

  • Bachelor’s degree in human resources, business administration, or a related field preferred.
  • Proven track record in high-volume, in-house LOA administration and serving as a Subject Matter Expect (SME) on leave regulations and compliance.
  • 5+ years of experience in leave of absence management in high volume environment.
  • Strong knowledge of FMLA, ADA, and other leave-related laws and regulations is essential.
  • Must be fully bilingual in English and Spanish with the ability to communicate complex leave information clearly in both languages.
  • Schedule of this position: Monday – Friday | Core business hours | Onsite in Santa Fe Springs
  • Ability to work on-site at our Beverly Hills HQ once per week is required

  • Sitting/Standing: Will be required to sit for extended periods while working at a desk, using a computer, and attending virtual meetings. Occasional standing may be required during in-person meetings or when visiting different departments.
  • Walking: The role may require walking through the warehouse or office space to engage with associates, observe operations, or attend team meetings.
  • Typing and Computer Use: Frequent use of a computer, keyboard, and mouse for email correspondence, data entry, and accessing HR software. This includes typing for long periods to update records, create reports, and communicate with employees.
  • Communication: Clear verbal communication is necessary, including speaking with employees in person, on the phone, or via video conferencing. Active listening skills are required to understand employee concerns and provide effective support.
  • Light Lifting: Occasionally it may be required to lift or move items such as files, small office equipment, or boxes up to 15 pounds when assisting with department-related tasks or organizing materials.
  • Visual and Auditory Demands: Ability to visually review documents and reports, as well as monitor employee performance and wellbeing through meetings, observations, and discussions. Hearing and understanding verbal communication is essential for effective interaction with employees.
