The IP Transfers Administrator works closely with the Life Sciences Business Unit and Office of General Counsel Client File Transfer Review teams on the harvesting, processing, review, analysis, and transfer of firm client files relating to the Firm’s Intellectual Property matters.  The IP Transfers Administrator provides assistance and support to the Compliance Attorney and works with the CFT Review Team to facilitate and execute tasking related to the administration and operation of the firm’s client file transfer process.  The IP Transfers Administrator will have a substantial working knowledge of large law firm recordkeeping systems and IP docketing software, transfer protocol and a thorough understanding of the organizational, procedural, and human aspects of working within a large organization.

What You Will Do:

  • Implement Firm’s policies and procedures regarding the transfer of digital and physical IP client matter records in and out of the Firm.

  • Transfer digital records to and from the Firm’s docketing software system, document management system and other related repositories as needed and coordinates with the IP Transfers and/or File Transfers Teams.

  • Perform database searches, audits, and record reviews to ensure records are imported and exported according to applicable criteria.

  • Work with various data formats and conversions.

  • Troubleshoot data transfer issues and problem resolution.

  • Draft related communications, formal documents and prepare applicable reports in accordance with the transfer process.

  • Coordinate and communicate with Stakeholders, Finance, and the Transfer teams.

  • Organize, execute, and facilitate all record transfer activities, including approvals, receipts, and acknowledgements.

  • Ensure that client request for transfers is properly and timely processed.

  • Serve as a resource to answer questions regarding the transfer process.

  • Special projects and additional duties as assigned by IP Transfers and/or the Client File Transfers Teams.

  • Handle ad-hoc data audit and project requests, as assigned by IP Transfer and/or the Client File Transfers Team.

Who You Are:

  • Bachelor’s Degree required.

  • 3-5 years IP operations experience preferred.

  • Excellent interpersonal, organizational, and communication skills, and ability to communicate clearly, both written and verbal.

  • Demonstrate a strong work ethic and self-motivation with a desire to take initiative.

  • Strong understanding of legal ethics and professional responsibility principles.

  • Possess strong analytical and problem-solving skills, with the ability to work in a fast-paced environment and prioritize multiple tasks effectively.

  • Strong attention-to-detail.

  • Sound judgment and ability to respect, protect, and maintain highly confidential and sensitive information.

  • Must work well in team environment and maintain a positive team atmosphere.

  • Proficiency in Relativity helpful.

  • Ability to use standard office software (MS Excel, Word, Internet Search Engines, etc.) required.

The target salary range for this position varies by location and is commensurate with relevant experience: Boston $72,900 - $109,400 | Los Angeles $76,600 - $114,900 | New York $76,600 - $114,900 | Philadelphia $68,600 - $102,900 | San Francisco $81,700 - $122,500 | Santa Monica $76,600 - $114,900 | Silicon Valley $81,700 - $122,500 | Washington DC $72,900 - $109,400
