SUMMARY:

The Human Resources Generalist – Shared Services provides centralized HR support across the organization with a strong emphasis on compliance, employee relations assistance, leave administration, workers’ compensation coordination, organizational reporting, and payroll support. This role partners closely with HR leadership and home office teams to ensure consistent, compliant, and efficient HR operations across all regions.

This position requires a high level of confidentiality, accuracy, and judgment, and serves as a key resource for policy interpretation, regulatory adherence, and cross departmental coordination.

ESSENTIAL FUNCTIONS:

Compliance & Policy Administration

  • Maintain compliance with federal, state, and local employment laws; monitor regulatory changes and support policy updates.
  • Conduct routine audits of HR records, LOA files, WC documentation, and payroll related data to ensure accuracy and compliance.
  • Support internal and external audits, including OSHA, DOL, FEHA, and benefits related audits.

Employee Relations – Home Office Support

  • Serve as a centralized resource for employee relations inquiries, documentation, and case tracking.
  • Assist HR leadership with investigations by gathering statements, organizing documentation, and maintaining confidential records.
  • Provide guidance to managers on policy interpretation, documentation standards, and escalation pathways.

Leave of Absence (LOA) & Workers’ Compensation (WC) Administration

  • Administer and manage all LOA programs (FMLA, CFRA, PDL, ADA/FEHA accommodations) including intake, tracking, communication, and return-to-work coordination.
  • Manage Workers’ Compensation claims, reporting, follow-up, and coordination with third-party administrators.
  • Partner with management on escalated LOA and WC issues.

Reporting & Data Integrity

  • Maintain and audit HR records for accuracy and data integrity.
  • Generate recurring and adhoc reports for HR leadership, payroll, compliance, and operations.
  • Support organizational dashboards and metrics related to turnover, LOA activity, WC claims, and compliance indicators.

Payroll Support

  • Assist payroll with timekeeping audits, corrections, garnishment processing, and verification requests.
  • Coordinate with managers and employees to resolve payroll discrepancies and ensure timely submission of required documentation.
  • Support payroll compliance related to wage and hour laws, meal/rest break documentation, and timecard accuracy.

Shared Services Coordination

  • Support home office HR operations including policy rollouts, compliance initiatives, and cross departmental projects.
  • Maintain vendor relationships related to LOA administration, WC carriers, HRIS, and payroll systems.
  • Uphold strict confidentiality and professional standards in all interactions.

Other Duties

  • Act in accordance with the company’s mission, vision, and values.
  • Perform other related duties as assigned by management.

Requirements

QUALIFICATION GUIDELINES:

Required

  • Bachelor’s Degree in Human Resources, Business Administration, or related field; or equivalent combination of education and experience.
  • 3–5 years of HR experience, preferably in compliance heavy or shared services environments.
  • Experience with LOA administration, WC coordination, and HR reporting.

Preferred

  • Healthcare industry experience.
  • Paylocity or similar HRIS experience.
  • PHR/SPHR certification.

KNOWLEDGE / SKILLS / ABILITIES:

  • Broad HR knowledge with strong understanding of compliance and regulatory requirements.
  • Ability to interpret and apply policies and procedures independently.
  • Strong customer service orientation and relationship building skills.
  • High attention to detail, accuracy, and confidentiality.
  • Strong analytical skills and comfort with reporting and data integrity.
  • Ability to multitask effectively in a fast paced, sometimes ambiguous environment.

CERTIFICATES/LICENSES/REGISTRATIONS:

  • PHR or SPHR Certification a plus.

WORK ENVIRONMENT:

The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job.

  • This is primarily an office classification, but may require driving for field and office visits, which requires the ability to drive an automobile. Temperature conditions are controlled with limited direct exposure to hazardous physical substances. The noise level in the work environment is usually low to moderate.
  • While performing the duties of this job, the employee is regularly required to sit, stand, walk, handle, or feel, reach with hands and arms, see, talk and hear. The employee will frequently lift and/or carry reports, records and other materials that typically weigh less than 20 pounds. The employee is occasionally required to stoop, kneel, bend, or crouch.
  • Finger dexterity is needed to access, enter, and retrieve data using a computer keyboard, calculator, and other standard office equipment.
