Position Summary
Ascend is seeking a highly motivated HRIS Analyst to oversee onboarding, offboarding, and HRIS management for our West Coast and Central region partner firms. This individual will be responsible for ensuring new employees feel informed, valued, and equipped to succeed while ensuring compliance and data accuracy across HR systems. This person will own and execute the Ascend Red Carpet Onboarding process and work closely with the Integration Manager to successfully implement this process at new partner firms. Additionally, they will be responsible for managing the offboarding process, handling compliance and employee relations issues, and maintaining accurate Workday records.


Key Responsibilities

HRIS & Data Management:

  • Maintain 99% accuracy in HCM data for assigned partner firms.
  • Conduct full data audits upon the onboarding of new firms and quarterly thereafter to ensure accuracy.
  • Create and maintain a weekly onboarding and offboarding dashboard tracking new and departing employees.
  • Ensure all integrations (Empower, Bswift, Everify, Checkr) function without errors to achieve 100% payroll accuracy.
  • Troubleshoot integration malfunctions with system POCs, resolving issues within 24 hours.
  • Generate Workday reports in under 24 hours, ideally within 4 hours.
  • Process all employee-related HRIS data updates within 24 hours.
  • Engage in Workday enhancement and automation projects alongside the Director of People Operations (DOP) to drive efficiency.
  • Provide Workday HRIS support for Head of People staff at the partner firm level, maintaining a response time of under 24 hours.

Onboarding:

  • Achieve an 80+ Employee Net Promoter Score (ENPS) for Red Carpet Onboarding, improving from 70+.
  • Coordinate pre-onboarding activities, including documentation, background checks, and system setup.
  • Facilitate orientation sessions within the first three days of hire to introduce new employees to Ascend culture, policies, and team.
  • Ensure all new employees receive proper training and tools during their first week.
  • Manage the new hire checklist, ensuring all items are completed within the first week.
  • Coordinate with IT to ensure seamless Day 1 onboarding, including system access and workspace setup.
  • Track and gather feedback from new hires, maintaining a >=50% response rate on the onboarding survey.
  • Partner with HR Leads at Partner Firms to ensure successful firm-specific onboarding.

Offboarding:

  • Ensure 100% of employees go through a formal offboarding process, with 100% of voluntary leavers participating in an exit interview.
  • Ensure full compliance with legal and internal policies, including final pay, benefits, and tax documentation.
  • Ensure exit interviews are conducted and report key insights to improve retention and employee experience.
  • Collaborate with IT, security, and other departments to ensure data security and policy compliance post-departure.
  • Update systems and records to reflect departing employees' status changes.
  • Manage benefits offboarding, ensuring proper deployment of COBRA administration.

Compliance & Documentation:

  • Ensure 100% completion, accuracy, and compliance of onboarding and offboarding documentation.
  • Maintain accurate Workday profiles with employment agreements, offer letters, resumes, bonus documentation, compensation change documents, severance terms, transfer documents, promotion letters, and non-compete/non-solicit agreements.
  • Stay updated on employment regulations, data protection laws, and industry best practices, providing the DOP with quarterly updates.
  • Develop and implement an automated compliance solution to minimize human error.


Qualifications:

  • Bachelor’s degree in Human Resources, Business Administration, or a related field.
  • 3-5+ years of experience in onboarding, HRIS management, and compliance.
  • Experience managing Workday HRIS, including reporting and integrations.
  • Strong project management and data analysis skills.
  • Excellent attention to detail and ability to maintain high standards of accuracy.
  • Ability to troubleshoot technical issues and collaborate with internal and external stakeholders to resolve HR system concerns.
  • Strong interpersonal skills with the ability to communicate effectively with employees and leadership.
  • Experience working in a fast-paced, growth-oriented environment.
