Senior Manager HR Systems

Job Summary

The Senior Manager HR Systems provides technical expertise and ongoing operational support for all HR Systems. The role is responsible for ensuring that our HR systems are meeting the needs of Sweetgreen and the People Team, regarding data integrity, reporting and analytics, data flows, approvals, and workflows, troubleshooting and issue resolution. The primary systems currently being used are UKG Core, UKG Time and Attendance, UKG PRO (Onboarding, Benefits), Greenhouse, Equity Edge, and Equifax.  The role requires the ability to drive consensus and provide direction, while at the same time be a hands-on subject matter expert capable of delivering the solutions required to solve complex business challenges.

Key Responsibilities

  • Collaborate with People and Enterprise Applications leaders and decision makers to develop the overall HRIS technology vision and strategy. Partner with business stakeholders to ensure that the project roadmap continuously reflects business priorities as projects and business needs change.
  • Serve as the technical expert for all things UKG. Ensure we are fully leveraging UKG to meet strategic business needs and pursue continuous improvement in business processes, integration, automation, and user experience.
  • Business Process Owner. Sample processes include I-9 verification, unemployment verification, provisioning/deprovisioning, and role matrix.
    • Lead process mapping of current state, its effectiveness, and identify gaps and risks that are in existence.
    • Propose process destination state considering industry best practices; perform gap analysis between the current state and destination state.
    • Inventory and assess the criticality and impact of the existing gaps and risks.
    • Recommend how to sequence and prioritize the remediation of gaps and risks.
    • Translate functional requirements into business and technical requirements including downstream impacts and dependencies.
  • Oversee and maintain optimal function of the system, which includes:
    • Database management; internal database files, tables, codes, backup files, data integrity, and security.
    • Customization & configuration to optimize the system and document the process around its usage.
    • Routine maintenance and upgrades.
  • Build and compile reporting to meet business needs such as automated queries, filters, and macros. Compile complex data reports, summaries, and logs as needed.
  • Develop policies and procedures which govern the day-to-day usage of the system and publish this for general consumption. Ensure system compliance with data security and privacy requirements. Conduct process audits and reports out findings.
  • Develop a regression suite to validate that system fixes are complete and accurate and the system enhancements function as designed.
  • Document and maintain process workflows, system decisions, designs and procedures.
  • Work with the Enterprise Applications, Technology and People teams on strategic and ad-hoc HR technology requests. Provide best practice information for efficacy and compliance purposes.
  • Partner with COEs and other stakeholders to review and prioritize system enhancement requests. Identify and clarify business requirements and create functional specifications that effectively translate what the customer needs into technical language. Partner on research and recommendations for systems and solutions where UKG may not provide an acceptable product.
  • Conduct and/or facilitate complex system testing, identify discrepancies, and formulate remediation plans. Work with People, Legal, Technology and Auditors to document, test and remediate compliance related matters.
  • Maintain strong relationships based on trust and transparency with primary business stakeholders.
  • Participate regularly in professional activities to keep abreast of changes and new developments in Human Resources and HRIS.
  • Maintain a strong customer focus.

Qualifications

  • Bachelor’s degree (in Human Resources, Computer Science, Finance, Business, Data Analytics, etc.) or equivalent experience.
  • Minimum of 8 years of HRIS or related reporting experience.
  • Minimum of 4 years of UKG experience.
  • Minimum of 2 years of project management experience.
  • Advanced proficiency in UKG Business Intelligence is required.
  • Experience in designing and implementing HRIS strategy.
  • Strong fundamental understanding of human resources programs and processes.
  • Ability to identify and write business requirements and create functional specifications.
  • Strong fundamentals of queries, customized reporting and dashboarding.
  • High level of attention to detail, accuracy, and thoroughness.
  • Strong Excel skills (proficiency with pivot tables, VLOOKUP, graphing, etc.).
  • Strong organizational skills and ability to multitask and prioritize workload.
  • Effective interpersonal (verbal and written) communication skills.
  • Strong work ethic and team player with a customer service orientation.
  • Ability to deal sensitively with confidential material and information.
