About the Role:
The HR Operations & Payroll Specialist plays a key role in supporting HR operations while managing payroll processing. This role focuses on delivering comprehensive HR support, including employee relations, recruiting coordination, benefits administration, and compliance, while ensuring accurate and timely payroll processing.
The ideal candidate is organized, detailed-oriented, and capable of balancing multiple priorities while maintaining confidentiality and professionalism.
Key Responsibilities:
HR Operations
1) Hands-on payroll processing experience (end-to-end); must be detail-oriented and passionate about accuracy, timeliness, and process improvement.
2) Proficient in HRIS administration, including data entry, auditing, report generation, and maintaining data integrity.
Strong interest in systems implementation and process streamlining — willing to get into the details and recommend improvements.
3) Skilled in data analytics and reporting; comfortable with Excel and HR dashboards to support decision-making.
Passion for data integrity, operational efficiency, and HR technology.
4) Background in compensation and benefits administration is a plus (e.g., managing open enrollment, supporting compensation reviews).
5) Experience with payroll platforms (e.g., ADP, UKG, etc) and ability to troubleshoot payroll discrepancies.
6) Must be collaborative, solutions-oriented, and able to work cross-functionally with HR, Finance, and IT.
7) Strong generalist HR background with experience across core HR functions (employee relations, compliance, onboarding/off-boarding).
● Serve as the first point of contact for employees and managers regarding HR-related inquiries.
● Provide guidance on HR policies, employee relations, and performance management processes.
● Coordinate onboarding and off-boarding to ensure a seamless employee experience.
● Maintain accurate HRIS records and generate regular reports for leadership.
Payroll Specialist
- Process payroll for company accurately & on time, ensuring compliance with tax regulations & company policies.
- Act as the primary point of contact for all payroll-related matters, including resolving employee payroll inquiries.
- Calculate wages, process deductions, and manage payroll adjustments (e.g., hires, terminations, salary changes).
- Coordinate with global payroll processors to ensure timely and accurate payroll for international employees.
- Maintain accurate payroll records and conduct audits to ensure data integrity and compliance with legal standards.
Data Management and Compliance
- Accurately enter and update employee data in HRIS systems (e.g., Workday, ADP, UKG).
- Conduct regular audits to maintain data integrity and compliance with federal, state, and local laws.
- Support immigration processes, including coordinating visa applications, renewals, and compliance documentation.
Compensation, Benefits, and Diversity Initiatives
- Assist with administering compensation programs, including salary adjustments, bonuses, and incentive plans.
- Support benefits enrollment, changes, and employee inquiries to maximize benefits utilization.
- Collaborate on diversity and inclusion initiatives to foster an inclusive workplace.
Recruiting and Employee Development
- Coordinate recruiting activities, such as scheduling interviews, managing communications, and preparing offer letters.
- Assist with employee development initiatives, including training programs and performance management processes.
System Optimization and Process Improvement
- Identify opportunities to optimize HRIS and payroll processes, recommending system enhancements as needed.
- Stay informed on HR and payroll technology trends to improve efficiency and support data-driven decision-making.
Other Duties
● Perform any other duties as assigned to support the HR & Finance department and organizational goals.
Qualifications:
Education:
- Bachelor’s degree in Human Resources, Business Administration, or a related field.
Experience
- 3+ years of experience in HR operations and payroll processing.
- Proficiency in HRIS systems (ADP, UKG) and Microsoft Office Suite, particularly Excel.
- Strong understanding of payroll processes, compliance, and HR best practices.
Skills:
- Excellent organizational and problem-solving skills with high attention to detail.
- Strong communication and interpersonal abilities.
- Ability to handle sensitive information with discretion and professionalism.
Preferred Qualifications:
● HR certification (e.g., PHR, SHRM-CP).
● Experience with HRIS implementation or system upgrades.
● Knowledge of immigration processes and employment laws.
● Experience with major payroll systems like ADP.
● Experience processing payroll for 100-200 employees.
