We are currently seeking an HR Administrative Assistant to join our team. In this role, you will provide administrative and operational support to the Human Resources Department. This position assists with onboarding and offboarding activities, recruitment administration, HR compliance initiatives, reporting, training documentation, employee records management, and other HR-related functions. The HR Administrative Assistant serves as a key support resource to the HR team by ensuring accurate documentation, maintaining confidential records, and assisting with various projects and day-to-day departmental activities. This position is fully remote.

This position is dependent on contract award.

Job Responsibilities

  • Provide administrative support to the Human Resources Department.
  • Assist with employee onboarding and offboarding activities, including preparing and processing required documentation.
  • Coordinate pre-employment and new hire paperwork and maintain onboarding records.
  • Assist with the preparation, distribution, and tracking of HR-related forms and documents.
  • Support recruitment efforts by posting positions, scheduling interviews, preparing offer letters, and coordinating candidate communications.
  • Maintain employee files and ensure documentation is complete, accurate, and compliant with company policies and applicable regulations.
  • Assist with maintaining records within the Human Resources Information System (HRIS).
  • Prepare, compile, and distribute HR reports, metrics, and other departmental data as requested.
  • Assist in the development, organization, and maintenance of training materials, job aids, and HR documentation.
  • Support HR compliance initiatives by assisting with audits, record retention, policy acknowledgments, required notices, and regulatory documentation.
  • Coordinate and track required employee training and compliance requirements.
  • Respond to routine employee inquiries and direct more complex matters to the appropriate HR team member.
  • Handle confidential employee and company information with discretion and professionalism.
  • Complete a variety of assignments while managing multiple priorities and meeting established deadlines.
  • Perform other duties as assigned to support the needs of the department and organization.

Minimum Qualifications

  • High School Diploma or equivalent required; Associate's Degree in Human Resources, Business Administration, or a related field preferred.
  • Minimum of five (5) years of administrative support experience, preferably in Human Resources or a related field.
  • Experience supporting onboarding, recruitment, employee records management, or HR administration preferred.
  • Strong organizational and time-management skills.
  • Excellent customer service and interpersonal communication skills.
  • Ability to handle confidential and sensitive information with a high degree of discretion.
  • Strong attention to detail and accuracy.
  • Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
  • Experience working with HRIS systems preferred.
  • Ability to work independently while effectively managing multiple priorities in a fast-paced environment.
  • Strong sense of urgency and commitment to meeting deadlines.

  • Strong written and verbal communication skills using phone, email, and virtual collaboration tools.
  • Detailed-oriented and reliable, with a commitment to accuracy, confidentiality, and quality standards.

Location Restrictions

  • This position is available only in approved work locations. The role is not open to applicants who reside in or will perform work in jurisdictions with compensation disclosure requirements that apply to this position. Work location eligibility will be confirmed during the application process.

Physical Requirements

  • Frequently required to operate a computer and file and retrieve written documents.
  • Physical demands may include but are not limited to standing, sitting, walking, lifting, carrying, reaching, handling, kneeling, crouching, and bending
