Job Summary:

The Global Operations Administrator provides administrative and operational support to Global Operations and cross-functional teams. This role is responsible for tracking performance objectives, managing schedules, coordinating global meetings and travel, preparing reports and presentations, and handling confidential information. The Administrator also supports operational efficiency through purchasing assistance, HR coordination, supplier onboarding, KPI tracking, and cross-departmental collaboration across multiple manufacturing sites.


Duties & Responsibilities:

  • Provide administrative support to the EVP Global Operations and Operations personnel with professionalism and discretion. 
  • Assist in the setting, tracking and reporting of key performance indicators and objectives across the operations organization.
  • Co-ordinate various initiatives and projects that will be implemented across operations from time to time.
  • Draft and format correspondence, agendas, reports, presentations, and maintain accurate records of procedures and policies.
  • Serve as a liaison across departments, vendors, and multiple manufacturing sites to support daily operations and communication. 
  • Collaborate with Legal Non Disclosures, Agreements and other documentation in operations. 
  • Track and follow up on Agile documentation such as Change Orders (CO), obtain necessary approvals, and provide reminders for outstanding items.
  • Support purchasing liaison activities, including processing purchase requests, and training on systems and processes for international buyers.
  • Manage global calendars, meetings, travel arrangements, and expense reporting.
  • Host and assist visiting team members at corporate and other manufacturing locations. 
  • Organize meetings, events, site visits, and team-building activities; manage catering and facility requests. 
  • Prepare meeting notes, manage communications, and provide backup support to other admins. 
  • Handle shipping, mailing, and occasional personal or ad hoc tasks. 
  • Perform other duties as assigned.

Minimum & Preferred Qualifications and Experience:


  • Minimum 5 years of executive administrative support experience. 
  • Strong proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). 
  • Highly organized, detail-oriented, and able to manage multiple priorities independently. 
  • Familiarity with processes and needs for a regulated medical manufacturing organization.
  • Excellent interpersonal skills and the ability to work effectively with executives, colleagues, departments, and external partners. 
  • Strong written and verbal communication skills. 
  • Demonstrated ability to handle highly sensitive and confidential information. 
  • Ability to respond with urgency and professionalism to time-sensitive requests.

Preferred Qualifications:


  • 5 years or more experience in similar position providing executive support to cross functional leaders in a large publicly held organization is preferable.
  • Experience working with international teams and coordinating across time zones. 
  • Familiarity with enterprise systems such as Agile, Concur, and Coupa.                                                                                                                                

Education:

College degree is preferred

 

Compensation: 

The anticipated salary range for this position is $40-$50 per hour plus benefits.  Actual placement within the range is dependent on multiple factors, including but not limited to skills, education, and experience. 


Physical requirements/Work Environment

This position primarily works in an office environment. It requires frequent sitting, standing and walking.  Daily use of a computer and other computing and digital devices is required.  May stand for extended periods when facilitating meetings or walking in the facilities.  Some local travel is necessary.
