Position Summary
The Front Desk Receptionist & Office Assistant serves as the first point of contact for employees, candidates, customers, vendors, and visitors entering Butcher Power Products headquarters. This role creates a professional, welcoming, and efficient front-door experience while providing administrative and operational support to the Office Manager and headquarters team.
As a visible ambassador of BPP's Culture & Professionalism Commitment, this position demonstrates exceptional service, professionalism, responsiveness, and hospitality. Working as part of a two-person team, the role rotates between reception coverage and office support responsibilities to maintain continuous lobby coverage, support workflow between office areas and locations, and create outstanding experiences for employees and guests alike.
Key Responsibilities
Reception & Visitor Experience
- Serve as the first point of contact for employees, candidates, customers, vendors, advisors, and visitors entering headquarters.
- Greet guests, verify appointments, issue visitor badges, maintain visitor records, and follow established access procedures.
- Notify hosts of arrivals and coordinate smooth transitions between the first-floor lobby and secured third-floor office areas.
- Support candidate interviews, new hire arrivals, executive and customer visits, and special events while maintaining a professional first impression of BPP.
- Exercise sound judgment when determining whether to leave the reception post based on scheduled arrivals, walk-up activity, delivery needs, available coverage, and business priorities.
- Help ensure a consistent, welcoming, and professional experience for all visitors entering headquarters.
Communication, Mail & Deliveries
- Answer, screen, and route incoming calls and reception communications professionally and courteously.
- Serve as a communication hub between the lobby, secured office areas, departments, and other office locations.
- Receive, sign for, track, distribute, prepare, schedule, and coordinate incoming and outgoing mail, packages, shipments, and deliveries, including carrier coordination, delivery tracking, shipping documentation, and recipient notification.
- Escalate urgent, confidential, high-value, oversized, or time-sensitive deliveries and visitor matters appropriately.
- Coordinate the movement of mail, documents, packages, supplies, and materials between floors, departments, and office locations as needed.
- Support timely and accurate communication regarding visitors, deliveries, and workplace activities.
Office Assistant & Workplace Support
- Assist the Office Manager with administrative projects, scheduling support, document organization, recordkeeping, office communications, and other assigned tasks.
- Support office supply inventory tracking, replenishment, onboarding preparation, meeting setup, catering coordination, and workplace logistics.
- Help maintain professional, organized, stocked, and visitor-ready reception, conference room, and shared office spaces.
- Rotate between first-floor reception coverage and third-floor office support assignments based on schedules, coverage, workload, and business needs.
- Deliver documents, packages, office supplies, and materials between departments, floors, and office locations as needed.
- Provide responsive support that helps work flow efficiently across the office without compromising required front desk coverage.

Schedule & Coverage Expectations
- This position is part of a two-person reception and office support team structured to provide continuous coverage during established headquarters business hours.
- Schedules may be staggered, with one team member starting earlier and the other ending later, to support full office-hour coverage.
- Team members rotate coverage to support meal and rest breaks, PTO, meetings, training, and other absences.
- Standard schedules will generally be aligned with business needs and may vary to support office coverage requirements.
- Regular and reliable onsite attendance is required. Occasional schedule flexibility may be needed for business events, interviews, visitor needs, or special projects.
Required Qualifications
- High school diploma or equivalent required.
- Two (2) or more years of receptionist, office assistant, customer service, hospitality, administrative support, or related experience.
- Strong verbal, written, and interpersonal communication skills with a professional and service-oriented presence.
- Strong organizational skills, attention to detail, sound judgment, and the ability to manage multiple priorities in a fast-paced environment.
- Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, Teams, and PowerPoint.
- Ability to maintain confidentiality, follow access procedures, and escalate issues appropriately.
Preferred Qualifications
- Experience supporting a manufacturing, industrial, engineering, or corporate office environment.
- Experience with visitor management, badge issuance, access control, package handling, or multi-floor office coordination.
- Experience supporting interviews, executive visits, customer meetings, company events, or office administration.
- Experience providing administrative support to managers or office leadership.
Physical Requirements
- Ability to remain at the reception desk for extended periods and move throughout office areas and between floors or nearby office locations as assigned.
- Ability to communicate effectively in person, by phone, and through electronic communications.
- Ability to operate standard office equipment, including computers, phones, copiers, printers, and scanners.
- Ability to occasionally bend, reach, push, pull, and lift, carry, or move packages, office supplies, and meeting materials weighing up to 25 pounds.

Compensation
The base pay range for this role is $22 – $28 per hour.
