Position Summary
Pay Range: $24.00 - $25.00/hr
Schedule: Must be present for full dismissal period
Organization Overview:
Mission: To inspire and empower all young people, especially those who need us most, to realize their full potential as productive, responsible, and caring adults.
Through accessible, holistic out-of-school enrichment programs and mentorship, Boys & Girls Clubs of Silicon Valley (BGCSV) helps close the opportunity gap and promotes economic, political, and social equity for the young people we serve and the communities they call home. We empower youth to take charge of their education, their lives, and their futures. Safety, cultural competency, inclusiveness, and belonging are top priorities. Our Clubhouses are rooted in communities of greatest need, and our staff reflects the diversity and richness of those communities. Together, we create a nurturing environment where young people can thrive.
Position Summary:
The Front Desk Receptionist is central to the safe, efficient daily operation of the Clubhouse. The core of the role is running the daily dismissal of 300+ members: confirming that every member is released accurately and promptly, and only to a parent, guardian, or other adult authorized in the member’s file. The Receptionist coordinates dismissal with program staff by walkie-talkie, calling members from the correct classrooms and program areas.
The Receptionist is also the first face members, families, and visitors see. The role answers phones, manages member and visitor sign-in/sign-out, and provides light administrative support. The ideal candidate stays calm, organized, friendly, and accurate in a busy, noisy front desk environment
Key Responsibilities:
1. Member Dismissal and Front Desk Coordination
- Serve as the primary front desk point of contact for the daily dismissal of 300+ Club members.
- Verify the identity of every adult picking up a member (including photo ID when the adult is not known to staff) and confirm they are listed as authorized in the member’s file before release.
- Follow all custody orders, restraining orders, and pick-up restrictions on file; never release a member to an unauthorized person, and escalate immediately to the Unit Director if someone not authorized attempts pick-up.
- Use walkie-talkies clearly and professionally to request members from the appropriate classrooms and program areas.
- State member names and dismissal details clearly so staff identify and release the correct member.
- Track member locations and work with Clubhouse staff to keep dismissal organized.
- Handle multiple dismissal requests at once while staying accurate, courteous, and in clear communication.
- Record accurate sign-out information (time, member, and adult picking up) for every member.
- Report discrepancies, delays, or concerns immediately to the appropriate staff member or supervisor, and follow Club procedures for members not picked up by closing time.
- Keep the front desk calm, organized, and customer-service focused during peak dismissal.
2. Child Safety and Mandated Reporting
- Act as a mandated reporter under California law and report any known or reasonably suspected child abuse or neglect as required (see California Legal Requirements below).
- Follow BGCSV child safety policies, including no one-on-one interactions outside of sight of other staff, and restroom supervision procedures.
- Monitor the Clubhouse entrance; ensure every visitor signs in and report unknown or unauthorized individuals right away.
- Know and follow emergency, lockdown, and evacuation procedures, and keep emergency contact information accessible at the front desk.
- Protect the confidentiality of member and family information.
3. Greeting and Assisting Members and Visitors
- Warmly welcome every member, family, and visitor who enters the Clubhouse.
- Answer phone calls and questions, and direct people to the right staff member or program area.
- Stay friendly, professional, and courteous at all times, including intense or high-volume moments.
- Help coordinate member restroom breaks in line with BGCSV supervision and safety policies.
4. Light Administrative Work
- Accurately manage the sign-in/sign-out process for members and visitors.
- Support administrative tasks such as data entry, filing, photocopying, and organizing documents.
- Keep the reception area and front desk clean and organized.
5. Representing Boys & Girls Clubs of Silicon Valley
- Learn BGCSV’s programs, initiatives, and services so you can give members, visitors, and callers accurate information.
- Model BGCSV’s mission and values in every interaction with members, families, visitors, and staff.
- Support BGCSV’s work in the community and its positive impact on youth development.
Requirements

- At least 18 years of age.
- Successful completion of a Live Scan (California DOJ) fingerprint background check after a conditional offer of employment.
