Core Responsibilities:

  • Work jointly with the Payroll Coordinator to manage the personnel
    communications system, Desk.
  • Ensure all new tickets received through 2pm PST are responded to same day
    along with an estimate of timing for resolution
  • Review the main Desk inbox to pull inquiries incorrectly sent to incorrect
    department and assign to payroll
  • Label all new tickets appropriately, by utilizing subject templates, proper priority
    levels and assignee based on the inquiry
  • Manage the Desk Matrix, containing the lists of labels, assignees, payroll error
    identification and priority levels associated to each label
  • Manage the macros in Desk and remove unused macros, create new ones to
    avoid redundant writing and edit existing ones, in tandem with process changes.
  • Ability to identify when inquiries are urgent enough to escalate or critical enough
    to engage the payroll manager
  • Run daily reports to provide all inquiries aged over seven days, run weekly
    reports to identify themes or recurring issues in specific regions, run the monthly
    report used to identify HC error and provide to finance
  • Scan/process garnishments and forward to payroll service for timely processing,
    as well as copies to employees as required by law and filling out and mailing
    notices for former employees to inform of status
  • Enroll paycards in the ADP Smart Compliance system daily and maintain store
    inventory on paycards
  • Fedex paycards for former employees daily as needed and re-order paycards as
    needed to keep in hand for terminations, lost checks, bounced direct deposits
    and missed hours

Skills Required:

  • Detail oriented
  • Excellent reading comprehension
  • Good writing skills with world class customer service always in mind
  • Good organizational skills
  • Able to work reliably and efficiently under demanding deadlines, high pressure
    environment

Experience Desired:

  • Restaurant or retail experience a plus
  • 1 year of payroll or human resources customer service experience
  • Experience with Desk customer service system a plus
  • Maintain confidential information when required by legal or ethical standards and
    professionalism to ensure privacy of employee records.
