About the Position:

The Accounts Payable Specialist will be a key member of the Finance Team responsible for receiving, processing, verifying, and reconciling invoices and processing payments. The ideal candidate will have existing accounts payable experience and a desire to further develop their knowledge and skills. You will be self-motivated, detail oriented and have a commitment to continuous improvement. You should be comfortable working in an entrepreneurial, fast-paced, and changing environment.

Specifically, You Will:

• Manage the full cycle accounts payable process from accurate invoice data entry through timely vendor payments and troubleshooting issues as they arise
• Prepare and process weekly check run, ensuring that supporting documentation is organized and saved in correct shared folders
• Process and monitor payments and expenditures effectively and efficiently to ensure that vendors and suppliers are paid within established time limits
• Manage the accounts payable email inbox, staying up-to-date on incoming invoices and responding to/resolving urgent issues and requests from vendors and internal departments
• Maintain and update vendor records as well as filing annual 1099 form in accordance with tax law
• Reconcile Company credit card transactions against expense reports
• Review and approve expense reports in accordance with Company policy
• Have the ability to effectively communicate with team members across different office locations and business units
• Assist with ad-hoc tax and accounting tasks as needed
• Assist with month end close related to vendor statement reconciliation and accruals

Within 30 Days, You’ll:

• Complete our ChowNow onboarding (Ramp Camp) where you’ll learn the ins and outs about ChowNow and our products
• Complete training with our IT Team and Accounting Team leads; by the end of training you’ll be able to successfully navigate all internal tools, including Google Apps, Slack, Box, ChowNow Admin, NetSuite, and Expensify
• Learn invoicing and payment processes in NetSuite and our banking platform

Within 60 Days, You’ll:

• Work with the team to take over shared responsibilities from the other accounts payable specialist
• Gain familiarity with the Company’s general ledger and department structure for purposes of accurate account coding
• Understand the Expensify employee reimbursement process as it relates to Company credit cards and employee credit cards
• Understand processes surrounding bank wires separate from standard weekly check run

Within 90 Days, You’ll:

• Be comfortable with the ChowNow accounts payable process from invoice receipt to bill payment
• Understand how to navigate NetSuite and Expensify efficiently and conduct routine tasks within the platforms
• Assist with month end close related to vendor statement reconciliation and accruals

You Should Apply If:

• You have 2+ years of experience with accounts payable
• You are proficient in Excel and Google Sheets
• You are familiar with using NetSuite and Expensify
• You have strong critical thinking skills and an ability to drive continuous improvement
• You are detail oriented and able to multi-task effectively to meet deadlines in a timely manner
