This role serves as the primary link between the rice mill, international customers, and logistics partners, ensuring shipments are accurate, compliant, and delivered on time. The position is critical in managing export documentation, coordinating logistics, and providing outstanding customer service to both domestic and international clients.

The position is critical in managing export documentation, coordinating logistics, and providing outstanding customer service to both domestic and international clients.
Requirements/Job Duties:
- Prepare, review, and process all export shipping documentation (commercial invoices, packing lists, bills of lading, certificates of origin, letters of credit, etc.).
- Ensure compliance with international trade regulations, USDA, FDA, and other applicable government requirements.
- Coordinate with freight forwarders, carriers, customs brokers, and logistics providers to arrange shipments.
- Process a high volume of export orders, change notices, and invoicing accurately and on schedule.
- Communicate shipment details, schedules, and documentation requirements with customers, sales, and production teams.
- Track and monitor shipments to ensure timely delivery; provide proactive updates to customers.
- Handle customer inquiries and resolve discrepancies, delays, or export compliance issues.
- Maintain accurate records of shipments, documentation, and customer correspondence.
- Support sales team with quotes, pricing, and account setup as needed.
- Work closely with operations and sales to track orders, handle special product or order requests, and communicate updates across teams and customers via phone, email, or in person.
- Perform administrative tasks (data entry, word processing, filing, copying, office organization and housekeeping duties) and cross-train with the administrative team.
- Demonstrate initiative in superior customer care through research and responsiveness when requested information is not readily available.
- Ensure adherence to customer service policies and procedures.
- Perform other duties as assigned by management.
- 3-5 years of customer service, logistics, or export documentation experience (agriculture/food industry preferred).
- General knowledge of export regulations, international shipment terms (Incoterms), and documentation requirements.
- Strong organizational and multitasking skills with excellent attention to detail.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office (Excel, Word, Outlook); General QuickBooks experience is a plus.
- A two-year degree, relevant certifications, or equivalent work experience (3-5 years) in a related field accepted.
