Job Summary: Under the direction of the Expanded Learning Program Coordinator, the Expanded Learning Opportunity Site Assistant position provides administrative, operational, compliance, and student support for the Expanded Learning Opportunity Program (ELOP). The role works closely with the ELOP Coordinator and school staff to coordinate daily programming, attendance, field trips, intersession activities, family communication, recruitment, and program logistics. The position also supports student supervision and safety, assists with emergency procedures, monitors program compliance and documentation, and helps address student, family, and staff concerns to ensure safe, effective, and well-organized ELOP programming. 


What You Will Do

Administrative and Clerical 

  • Work directly with ELOP Coordinator to plan and execute schedules, operations, field trip logistics, spirit week, culminating event, and intersession programming (daily check-ins with ELOP Coordinator)
  • Lead field trip trips on designated days. This includes: field trip prep, departure, arrival, lunch distribution, addressing student and teacher concerns at field trip site
  • Support ACES/TAS teachers/subs/IA’s/school support staff  in planning for Intersession and carrying out Intersession vision
  • Support communication plan to families for Intersession enrollment of chronic absenteeism and credit recovery attendance (work with administrators, office managers, and ELOP Coordinator)
  • Serve as emergency lead during emergency drills and in the event a real emergency at the school site and during a field trip
  • Implement emergency procedures, guide school staff, and provide the all clear for site staff at the school site and during a field trip
  • Collaborate with ELOP Coordinator to ensure all teachers are completing daily attendance and sign-in sheets
  • Supporting with teacher follow up on missing signature and documentation
  • Support with Quality Control by co-hosting classroom observations to ensure programming is effective, demonstrating presence across intersession classes 
  • providing immediate feedback, resources, and modeling excellence in classroom management and lesson plan implementation
  • collaborating when responding to parent concerns and issues that arise with programming and student behavior (in consultation with Administrator and ELOP Coordinator) to follow TAS/ACES behavioral expectations and response to student behavior. 
  • collaborating with teachers and staff staff to address student behavior concerns in a timely manner

 

Operational and Compliance 

  • Review compliance documents (registration forms, attendance, field trip forms, student contracts) for completeness and accurate signatures/ink requirements.
  • Cross-reference daily sign-in/sign-out sheets with electronic attendance and update daily attendance trackers.
  • When requested by your manager, facilitate students taking and completing baseline and summative assessments.
  • Prepare/submit purchase orders and maintain simple expense tracking aligned to ELOP operations.
  • Monitor inventory and coordinate ordering/distribution of supplies for ELOP activities.
  • Provide logistics support (athletics, interventions, Saturday School, 30-day programs), including schedules, space setup, and materials.
  • Reconcile paper vs. electronic attendance daily; flag and correct discrepancies.

Administrative and Clerical

  • Provide clerical and reception services for the Expanded Learning Opportunity Program (ELOP), including answering phones, greeting visitors, and directing inquiries.
  • Provide general administrative and clerical support to office/program operations (e.g., filing, data entry, document audits) to ensure smooth daily workflows.
  • Collect, review, and file ELOP applications, student rosters, and attendance records.
  • Support preparation of program materials, including flyers, bulletins, newsletters, and parent communications.
  • Maintain accurate and organized program records including student enrollment, attendance logs, and sign-in/out sheets.
  • Assist in tracking student performance, documentation, and staff activity logs.
  • Support recruitment for all ELOP offerings, including Athletics, Before/After School Intervention, Saturday School, and 30-day programs.
  • Collaborate with school office managers and the ELOP Coordinator to recruit students for chronic absenteeism interventions and credit recovery (30-day ELOP and Independent Study programs).
  • Conduct compliance checks (registration forms, attendance sign-in/sign-out and electronic logs, student contracts, field trip slips) for completeness and correct signatures/ink requirements.
  • Update attendance trackers and maintain accurate compliance records.
  • Support document audits and basic data entry; maintain organized program files.

Communication and Customer Service 

  • Serve as a liaison between families and ELOP staff by responding to parent inquiries and ensuring clear communication regarding pick-up, schedule, and program policies.
  • Collaborate with teachers, coaches, dean, and ELOP Coordinator to identify student academic needs and connect students to resources (e.g., before/after-school grade-level tutoring).
  • Coordinate scheduling of parent meetings, ELOP training, and other events.
  • Maintain and update calendars, announcements, and staff communications for ELOP activities.
  • Notify ELOP Coordinator of any urgent school administrator/teacher/staff/parent/student  concerns in order to address issues promptly.
  • Support ELOP Coordinator in addressing concerns and follow up as directed.
  • Make parent phone calls for recruitment/retention and provide brief updates regarding attendance, practices, and events.
  • Follow up with students who miss sessions/practices to encourage continued participation.
  • Coordinate with teachers, coaches, and site staff to support student success; maintain shared calendars and announcements.

Student Safety and Supervision 

  • Assist TK–8th grade students transitioning to after-school programs (e.g., ARC/MPR) and support end-of-practice dismissal flow (as needed).
  • Support TK–8th grade student supervision across classrooms, hallways, dismissal/breezeway, field trips, practices, games, and overflow areas; conduct campus sweeps to ensure students transition to correct areas (as needed).
  • Communicate “all clear” of hallways on walkies to the administrative team.
  • Supervise students during transitions, dismissal, practices, games, field trips, and in overflow areas; perform campus sweeps.
  • Use radios/walkies to communicate hallway status (“all clear”) and coordinate with admin.

Qualifications

 

Minimum and Preferred Qualifications:  

  • Minimum of an Associate’s (AA) degree in Education, Child Development, or a related field. (required)
  • Bachelors (BA) degree in Education, Child Development, or related field (preferred)
  • Experience working with K–8 students in a classroom, tutoring, or youth program setting.
  • Strong understanding of educational practices, goal-setting (including SMART goals), and basic case management for students.
  • Proficiency in administrative tasks and clerical workflows; ability to support office operations smoothly.
  • Proficiency in Microsoft Office and Google Workspace (Docs, Excel Sheets, Forms, Powerpoint).
  • Ability to read/write/speak in Spanish. 
  • Must have a courteous and positive attitude. 
  • Maintain strong verbal/written communication amongst staff and customers

Working Conditions/Physical Requirements:

  • Work is primarily performed in a standard office and school environment.
  • Requires prolonged periods of sitting, with intermittent standing and walking throughout the workday.
  • Frequently uses a computer, keyboard, telephone, and other standard office equipment.
  • Requires sufficient manual dexterity to operate office equipment, enter data, and handle documents.
  • Requires the ability to reach, bend, stoop, kneel, and twist occasionally to retrieve or file records, office supplies, and materials.
  • Requires the ability to lift, carry, push, and pull office equipment, files, boxes, and supplies weighing up to 25 pounds on an occasional basis.
  • Requires visual acuity to read printed materials and computer screens and the ability to communicate effectively in person and by telephone.
  • May occasionally move throughout the campus to deliver materials, assist staff, or attend meetings.

Compensation and Benefits:  

  • Salary Rate: $27.00 / Hourly
  • Medical, Dental, Life, and Vision Coverage 

Work Schedule:  

  • Monday - Friday |  General Work Hours: 9:30 A.M. - 6:00 P.M. must be able to work flexible hours as needed
  • 12 Month Classified Hourly work calendar | 240 Work Days
