As our Executive Business Partner, you'll run the Office of the President. This is an Executive Assistant role and a Business Operations role in one seat, working directly with our President & COO. Half the job is running the executive office at a world-class level: calendar, travel, meetings, follow-through. The other half is utility-player work across the functions that report to the President, operations, customer experience, finance, data, engineering, and scoped people-operations support run through Talent Acquisition and Finance. You'll get the President's time pointed at the right problems, own the follow-through ledger that holds the whole leadership cadence together, and take on real cross-functional work as the business needs it.

This is a rare, full-spectrum role, and it's built as a launchpad rather than a ceiling. You'll do all of it with AI as your default way of working, in an office where reporting, research, and triage are already largely produced by AI agents, and where your judgment is the reason that output can be trusted. It is the best seat in the company for learning how a large e-commerce operation actually runs. A candidate who wants a pure analyst seat, or who sees calendar and travel work as beneath them, is not what we are looking for.

You'll report directly to the President & COO and work daily with other sr. leaders, plus Finance, Engineering, Talent Acquisition, and CX leadership. You'll also carry a dotted line to our Sr. Director of Corporate Affairs, supporting her work including North America group events. We move fast and operate lean, so we need someone who automates instead of adding steps, checks their own numbers before anyone else has to, and tells us what's off plan before we ask. This role sits in Irvine, with occasional travel and some flexibility outside standard hours when the calendar demands it.

Executive Operations, End to End
  • Own the President's calendar, prioritization, conflict resolution, protecting focus time, and making every meeting earn its slot.
  • Own travel, expenses, and logistics, handled so well nobody thinks about them.
  • Hold the discretion the seat requires. Compensation, personnel, strategy, and off-boarding material crosses this desk every week and stops here.
  • Be the reliable front door to the Office of the President for the leadership team and for outside partners.
Meeting Excellence & Follow-Through
  • Agendas and pre-reads before, decisions and owners captured during, commitments chased to done after.
  • Own a follow-through ledger across every function — what was promised, by whom, by when, and whether it is actually happening.
  • Own the weekly exceptions list: the short set of things off plan, each with a named owner and a date.
  • Escalate early. A commitment quietly slipping is the thing this seat exists to catch.
An Office That Runs on AI
  • Work automation-first: draft, research, summarize, reconcile, and prepare with AI tools, then apply your own judgment before anything reaches the President or leaves the office.
  • Treat any task you do more than twice as a candidate for automation; build and maintain the workflows that produce recurring briefings, trackers, and reports.
  • Own the quality gate on machine-made output. Nothing ships until you have checked the numbers against their source in this seat, confidently wrong is worse than slow.
  • Handle the exceptions AI gets wrong, then fix the workflow so the same exception does not recur.
  • Leave the office more automated at the end of each quarter than it was at the start.
Cross-Functional Projects & Business Ownership
  • Pick up what the business needs next: a customer-experience audit, a finance process cleanup, a data pull behind a pricing decision, an operations scramble.
  • Direct operational support to Kevin of Exectuive GM, follow-through, and project support on the operations side, on a standing basis rather than ad hoc.
  • Dotted-line support to our Sr. Director of Corporate Affairs, including planning and execution support for North America group events.
  • Own one recurring business report end to end, its definition, its data source, and its accuracy.
  • Drive at least one cross-functional issue per quarter to a decision with named owners and dates, and present the outcome yourself.
  • Learn the business lines well enough to be useful in the room, not just to schedule it.
People & HR Support

This is defined, owned work with named partners not open-ended "help the HR team."

  • Onboarding coordination: run the pre-start checklist for new hires equipment, systems access, workspace, merch box, and first-week welcome logistics. Confirm access is provisioned and working on day one, not day three.
  • Off-boarding coordination: run the departure checklist with IT, Finance, and the manager. Confirm every system, credential, and building access is cut on the effective date. This is a same-day, verified-closed process, and it is one of the most sensitive things you'll own.
  • Candidate Scheduling, pipeline support and general admin tasks for the Senior Director of Talent Acquisition. This can include scheduling and coordination for interview loops, candidate communication, pipeline hygiene, and screening support on defined reqs. Scope is set by TA, and TA owns the decision.
  • Finance-adjacent people ops: support headcount tracking, offer paperwork routing, and new-hire cost setup as directed by Finance.

Requirements

Basic Qualifications

  • Bachelor's degree required
  • 2–5 years of experience at a fast-moving company with an agile environment
  • Two or more years of experience supporting senior leaders, running an executive office, or managing cross-functional business projects.
  • A working portfolio of AI-built automations, at least two or three workflows you personally built and can walk through, with the measurable result: hours saved, errors avoided, or volume absorbed without added headcount.
  • Demonstrated judgment about where AI tools fail. You can point to a time a tool handed you a confident wrong answer, explain how you caught it, and describe the verification habit you kept afterward.
  • Hands-on data fluency in spreadsheets. Given a dataset and a question, you can produce the figure, cite where it came from, and name the conditions that would make it wrong.
  • Experience writing executive-level briefings, including at least one instance of delivering unwelcome news to a senior stakeholder in writing.
  • A serious appetite to learn e-commerce and operations from the ground up, and willingness to be measured against a defined learning bar at six and twelve months.
  • Able to work hybrid from our Irvine office approximately three days per week, with occasional travel and flexibility outside standard hours when the calendar requires it.

Preferred Qualifications

  • Experience supporting a C-level executive or running an executive office at a fast-moving (start up) company.
  • Exposure to e-commerce, apparel, distribution, 3PL, or another high-volume, product-based operation.
  • Financial statement literacy — you can read a P&L and ask a useful question about it.
  • Hands-on with agent-building and automation tooling (Claude, Apps Script, Zapier / Make / n8n, or similar) and comfortable in spreadsheets at a level beyond pivot tables.
  • Experience at a bootstrapped, profitable, or otherwise resource-disciplined company where nobody was coming to do it for you.
  • Experience coordinating onboarding, offboarding, or recruiting logistics in a small, fast-moving people function.

Benefits

The base compensation for this role is expected to range from (90,000 - 110,000), plus an annual discretionary bonus of up to 10% of base. Actual compensation will be based on a variety of factors, including skills, experience, qualifications, and overall fit for the role.

Total compensation may include base salary, performance-based bonuses, equity, and benefits. Final offers are tailored to each candidate and take into consideration their background and years of experience.
