Position Summary

Reporting to the CEO, the Executive Business Administrator will be a forward-thinking, motivated, resourceful and proactive individual with an established and proven history of high performance to support the Chief Executive Officer.

This role requires prominent levels of discretion, integrity, good judgment, and professionalism in dealing with senior executives inside and outside of the company. The successful candidate must understand business priorities, demonstrate the ability to proactively anticipate needs, drive improvements, own and complete sophisticated tasks, and projects quickly, react with appropriate vitality to situations that require a quick turnaround, and proactively solve difficult or complex problems. Exceptional organizational and communication skills and an exceptional ability to partner are necessary.

Essential Duties and Responsibilities

The essential functions include, but not limited to the following:

CEO Administration Support:

  • Have a detailed understanding of the CEO’s priorities and workload to predict, prioritize, and make recommendations/offer scheduling tradeoffs.
  • Arrange all aspects of the CEO's travel, including flight bookings, accommodation, transportation, and itineraries.
  • Manage all expenses for the CEO in a proactive, fiscal, and alert manner.
  • Provide project management support on special initiatives and strategic projects assigned by the CEO.

Executive Administration:

  • Ensure executive meeting notes are captured with follow-up and the ability to identify action items and initiate next steps.
  • Coordinate and maintain high-volume scheduling for relevant meetings, events, appointments, speaking engagements, travel arrangements, etc.
  • Manage and coordinate board meeting planning to ensure all logistical and coordinated efforts are done flawlessly. 
  • Work closely with the ELT team to keep them informed of upcoming commitments and follow up as necessary.
  • Quickly schedule as well as set up internal and external meetings virtually, in person or via any other required format
  • Uphold a prominent level of discretion and confidentiality.
  • Adapt and solve conflicts or blockers quickly and effectively while remaining highly responsive.
  • Collaborate across multiple departments to ensure the most consistent scheduling arrangements and to relay to relevant parties

Project Management

  • Coordinate and enhance team events that directly involve the CEO or other executive leadership of varying scales and objectives
  • Handle reservations for meeting rooms, equipment, and catering for executive trips and events.
  • Collaborate on special projects with senior leaders across Seeq and coordinate team events.
  • Collaborate with various teams on company-wide initiatives and events.

Requirements
  • At least 5 years of success supporting a C-level executive in a high-growth, and constantly evolving environment.
  • Ability to manage sensitive and confidential information.Outstanding time management and leadership skills with demonstrated ability to handle multiple priorities.
  • Highly able to give clarity, agility, and operational excellence in the work being performed. 
  • Excellent verbal and written communication skills
  • Highly proficient with Microsoft Office Suite (PowerPoint, Excel, Word, etc.)
  • Adaptable to learning tools that may enhance work performance.
  • Must have a growth mindset; this is critical to the success of this role. 
  • Comfortable and able to thrive in a fully remote work environment. 

Preferred:

  • Experience in a tech/SaaS environment
  • Experience supporting a CEO.

The noise level in the work environment is usually low to moderate.
