What You’ll Do

As our Executive Assistant, you’ll be the trusted backbone to our leadership team—managing logistics, communications, and operations with efficiency, discretion, and foresight. Operating in a fast-moving startup environment, you’ll be pivotal in enabling strategic decision‑making and high productivity. You’ll anticipate needs, streamline workflows, and elevate the executive experience.

Your responsibilities will include:

  • Calendar and travel management: Coordinate complex scheduling and seamless domestic/international travel, including briefings, itineraries, and expense reports.

  • Inbox and communication triage: Own the CEO’s inbox—prioritize threads, draft responses, and drive timely follow-ups with internal and external stakeholders.

  • High-leverage meeting support: Prepare materials, manage logistics, and take action-oriented notes for key meetings, including board, investor, and leadership reviews.

  • Internal & external communications: Partner with leadership to amplify messaging across Slack, newsletters, decks, and external-facing materials.

  • Cross-functional coordination: Act as a connective tissue between leadership and teams like Ops, People, and GTM—ensuring smooth handoffs and clarity.

  • Operational ownership: Manage vendors, tools, and occasional business/personal logistics to keep systems humming behind the scenes.

  • Context & continuity: Track meeting outcomes, key decisions, and follow-ups to maintain momentum and executive focus.

  • Discretion & professionalism: Uphold confidentiality and represent the company with clarity, composure, and care—especially in high-stakes environments.

  • Bias for action: Anticipate needs, surface priorities early, and take initiative to remove friction before it becomes a problem.

What We’re Looking For
  • 4–6+ years of experience supporting C‑level or senior leadership in fast‑paced startup or enterprise environments.

  • A proven track record of managing high‑volume calendars, travel, and logistics with precision.

  • Exceptional organizational and time‑management skills, able to juggle competing priorities.

  • Strong interpersonal presence: polished communication, emotional intelligence, and ease interacting under pressure.

  • Self‑starter mindset: you identify gaps before being asked and own resolution.

  • Resourcefulness: comfort navigating ambiguity with creativity, tact, and calm urgency.

  • Tech-savvy: adept with tools like Google Workspace, Slack, Zoom, calendaring systems, travel/work expense platforms.

  • Absolute integrity and discretion when handling confidential information.

  • Enthusiastic about working in a hyper-growth, impactful AI startup environment.
