Role Description
Calendar management: proactively manage and prioritize a complex, dynamic calendar with strategic intent
Travel coordination: plan and coordinate domestic and international travel, including detailed itineraries and contingency plans
Expense reporting: manage timely and accurate reconciliation of expenses
Cross-functional coordination: serve as a point of contact between executives and their direct reports, facilitating communication, follow-ups, and alignment across teams
Task and priority tracking: help the executives stay on top of key deliverables and follow-ups
Meeting coordination: schedule and manage logistics for internal and external meetings, including room bookings, agendas, and relevant materials
Project and event coordination: oversee or track special projects and events on the executives’ behalf
Internal communication: assist with drafting executive messages to the company and support internal alignment.
In this role, you will work closely with the executive team to provide comprehensive executive-level administrative support. This role is crucial to the efficiency and effectiveness of our executives, ensuring seamless communication and coordination of activities. This role requires a proactive and detail-oriented professional with excellent organizational, communication, people, and problem-solving skills.
Core Responsibilities
Required Qualifications
4+ years of relevant experience, including supporting C-level executives
Exceptional organizational and time management skills: ability to manage multiple priorities and competing demands with calm efficiency
Strong written and verbal communication: can draft executive-level correspondence with polish and clarity
Attention to detail: meticulous execution of complex tasks
Proactive mindset, resiliency to changing environments, and collaborative
Discretion and professionalism: trusted to handle sensitive information with the utmost integrity
Availability and flexibility: while this is a standard business hours role, ability to flex availability occasionally outside normal working hours is expected — particularly to support executives traveling across time zones
Technical proficiency with Google Workspace, Microsoft Office, productivity/collaboration tools, and travel and expense platforms
