About the Role

The Executive Assistant is highly organized, adaptable, and skilled at managing complex schedules, board coordination, and international travel logistics. You anticipate needs, solve problems proactively, and bring strong technical and organizational skills. Calm and professional in all interactions, you are trusted with sensitive information, comfortable working independently, and able to adapt to changing priorities.

You will serve as the primary support to one Director, while also providing travel and limited administrative support to one additional Director and one Senior Leader.

What You Will Do

  • Provide comprehensive administrative support, including calendar management, meeting coordination, and screening & prioritization of email.

  • Handle information with an extremely high degree of sensitivity and confidentiality.

  • Anticipate needs, ensuring agendas, briefing materials, and documentation are prepared in advance of meetings.

  • Plan and coordinate internal and external meetings, including invitations, agendas, materials, technical requirements, catering, and logistics.

  • Plan and coordinate domestic and international travel for the primary Director, and provide travel support to two additional leaders.

  • Take minutes during meetings; draft, proofread, and distribute confidential reports, memos, and presentations; proactively track and manage follow-ups.

  • Review, edit, and format reports, presentations, and correspondence to professional standards.

  • Maintain an electronic filing and document management system.

  • Support preparation and distribution of content for Board and Advisory Board meetings; attend as needed to capture minutes and track action items.

  • Provide administrative support to the Chair and Advisory Board, as required.

  • Manage organizational assets and perks (e.g., ticket allocations, memberships) where applicable.

  • Perform other duties and responsibilities as assigned, provided they fall within the scope of an Executive Assistant role.

About You

  • At least 10 years of experience as an Executive Assistant or in a senior administrative role directly supporting executives.

  • Post-secondary diploma in Business, Communications, Administration, or a related field is an asset.

  • Experience planning multi-day events, leadership meetings, or conferences.

  • Advanced technical skills, with mastery of Microsoft Office (Word, Excel, PowerPoint, Outlook) and advanced proficiency in Google Workspace, Zoom, Slack, and other productivity tools.

  • Outstanding organizational skills with the ability to shift priorities and manage multiple tasks across stakeholders.

  • Strong independent judgment and ability to work autonomously.

  • Exceptional communication skills (written and verbal) with a professional presence. Skilled at handling highly confidential information with discretion and diplomacy.

  • Flexibility to adjust work hours and location to meet the needs of leaders across time zones.
