We are seeking an experienced and proactive Executive Assistant to provide high-level administrative support to company leadership. This role will serve as a trusted partner to executives, ensuring seamless coordination across meetings, priorities, and strategic administrative functions. The EA will also oversee day-to-day office efficiency and help direct key workflows across teams.
This role currently operates within the Human Resources function, with the expectation that it may evolve over time to more directly support executive leadership as organizational needs grow. This role is designed with growth in mind, offering the opportunity to expand in scope and responsibility as the organization continues to scale.
What You Will Do:• Manage complex calendars, prioritize meeting requests, and coordinate internal and external appointments• Prepare executive-level documents, reports, agendas, and presentation materials• Coordinate and execute logistics for leadership meetings, company-wide events, and client engagements• Oversee sensitive correspondence and maintain confidentiality with professionalism• Support vendor relationships for office operations and services• Assist with special projects on behalf of executive leadership• Liaise with internal stakeholders to drive follow-ups, reporting, and deliverables• Oversee daily workflows related to office operations, including supplies, onboarding coordination, and space planning (in partnership with administrative staff)• Provide coordination and general oversight of Administrative & Office Support functions, including helping set daily priorities and ensuring alignment across support activities• Support and coordinate executive travel arrangements, including flights, accommodations, ground transportation, and itinerary management• Assist in managing business travel tools and processes to ensure efficiency and alignment with company policies• Proactively support travel changes, scheduling adjustments, and logistical needs as they arise• Support the improvement and consistency of executive support processes
Requirements
What You Need to Be Successful:• 5-8 years of experience supporting executives or senior leadership• Excellent written and verbal communication skills• Proven ability to handle confidential information with discretion• High degree of initiative, problem-solving, and sound judgment• Strong organizational and multitasking skills• Proficient in MS Office, Google Workspace, and calendaring platforms• Additional certifications or training in business administration, project management, or office management are a plus

Compensation & Benefits:
In accordance with Illinois' pay transparency requirements, we are committed to providing clear compensation information. The pay range for this position is $55,000 to $65,000 annually. Pay is based on a number of factors including market location and may vary depending on job-related knowledge, skills, and experience. Pay ranges are subject to change based on evolving market conditions or business needs.
