Position Summary

Defense Holdings, Inc. (DHi) is seeking a highly organized Virtual Executive Assistant to provide administrative support to senior leadership and facilitate effective communication, scheduling, and operational coordination.

The ideal candidate will be proactive, detail-oriented, and capable of managing multiple administrative tasks in a remote or hybrid work environment.

Key Responsibilities

Executive Support

Manage executive calendars, meetings, and appointments.
Coordinate internal and external communications for senior leadership.
Prepare reports, presentations, and other documentation as required.

Administrative Coordination

Organize and maintain digital records, files, and correspondence.
Assist with travel arrangements, expense tracking, and office operations.

Communication & Liaison

Act as a point of contact between executives, internal teams, and external stakeholders.
Coordinate meeting logistics, agendas, and follow-up action items.

Operational Support

Assist with special projects, research, and administrative tasks as assigned.
Support workflow and process improvements for executive operations.

Required Qualifications

Bachelor’s degree in Business Administration, Communications, or related field.
3–5 years of executive administrative support experience.
Strong organizational, communication, and time-management skills.
Proficiency with Microsoft Office Suite and collaboration tools.

Preferred Qualifications

Experience supporting executives in government or defense-related organizations.
Familiarity with remote collaboration and productivity tools.
