At Exa, we're building a next-generation AI search engine—one that outperforms Google for power users. We help people find the information they can’t get anywhere else: https://exa.ai/websets

We're an SF team of ~35 from Harvard, MIT, Google, Apple etc. We recently raised a Series B from Benchmark, and we are rapidly building the most intelligent search engine in history.

Now, we’re looking for an Executive Assistant to help our C-suite team run smoothly!

About the Role

As an Executive Assistant at Exa, you will work with C-suite to manage their loaded calendars and task lists. This will be a highly variable role where new and unexpected tasks fall onto your plate often.

What You’ll Do

  • Own C-suite calendar management and optimization

  • Continuously find ways to optimize scheduling, office management, recurring tasks, etc.

  • Affinity towards technology— better if you can automate parts of your own role

  • Greet our ever flowing office guests

  • Coordinate team and office events, make sure people are having fun and taken care of!

  • Ad hoc tasks as they come— be prepared for anything!

What You’ll Need

  • 2+ years of experience as an executive assistant or office manager

  • Very strong communication and organizational skills

  • Ability to self-organize and work agentically with little direction/overhead

  • You enjoy context switching between different workstreams and tasks

  • “People Person” — the strong ability to read people and the room, understand where to insert yourself and when + how to be helpful

  • Comfort in a fast-moving, high-growth startup environment

This is an in-person opportunity in San Francisco. We're happy to sponsor international candidates (e.g., STEM OPT, OPT, H1B, O1, E3).

What you need to know about the Los Angeles Tech Scene

Los Angeles is a global leader in entertainment, so it’s no surprise that many of the biggest players in streaming, digital media and game development call the city home. But the city boasts plenty of non-entertainment innovation as well, with tech companies spanning verticals like AI, fintech, e-commerce and biotech. With major universities like Caltech, UCLA, USC and the nearby UC Irvine, the city has a steady supply of top-flight tech and engineering talent — not counting the graduates flocking to Los Angeles from across the world to enjoy its beaches, culture and year-round temperate climate.

Key Facts About Los Angeles Tech

  • Number of Tech Workers: 375,800; 5.5% of overall workforce (2024 CompTIA survey)
  • Major Tech Employers: Snap, Netflix, SpaceX, Disney, Google
  • Key Industries: Artificial intelligence, adtech, media, software, game development
  • Funding Landscape: $11.6 billion in venture capital funding in 2024 (Pitchbook)
  • Notable Investors: Strong Ventures, Fifth Wall, Upfront Ventures, Mucker Capital, Kittyhawk Ventures
  • Research Centers and Universities: California Institute of Technology, UCLA, University of Southern California, UC Irvine, Pepperdine, California Institute for Immunology and Immunotherapy, Center for Quantum Science and Engineering
