Why this job is exciting

We’re looking for an Executive Assistant to provide interim support to our VP of Technical Success. This is a highly operational role focused on reducing cognitive load, organizing complex calendars, keeping meeting documentation on track, and enabling a senior executive to focus on top priorities.

You’ll help keep things moving smoothly across projects, ensure meeting prep is complete, and follow up with stakeholders to make sure action items don’t fall through the cracks. This executive deeply values preparation and structure, meeting readiness and effective follow-up will be key to your success in this role.

In this role, you will:
  • Own daily and weekly meeting preparation, ensuring agendas are complete, updated, and organized
  • Manage a dynamic calendar, proactively scheduling, prioritizing, and rescheduling meetings as needed
  • Coordinate and support candidate interview scheduling in partnership with recruiting
  • Follow up on outstanding project items or action items from meetings
  • Draft and send weekly executive updates using provided templates
  • Coordinate travel logistics (up to 15% travel; up to 50% in October/November)
  • Proactively flag meetings that may not align with current priorities and suggest rescheduling or canceling
  • Communicate with cross-functional stakeholders to ensure alignment ahead of meetings
About you 
  • Highly organized, detail-oriented, and proactive
  • Experienced in supporting senior leaders or executives in a fast-paced environment
  • Skilled communicator (written and verbal), comfortable following up and nudging for accountability
  • Self-directed and able to prioritize and problem-solve independently
  • Comfortable working across time zones and managing remote coordination
  • Familiarity with tools like Google Calendar, Slack, and applicant tracking systems (ATS) a plus
Working hours
  • Part-time (20 hours/week)
  • Must have at least 4–6 hours/day overlap with Mountain Standard Time (MST)
  • This role is remote and location agnostic, but time zone alignment is critical
