 Job Title: Executive Assistant

Location/Terms: Mill Valley, CA; Hybrid/Full Time

About the Principal:

This role will be providing direct support to our CEO, Peter Meyers. Peter is an author and communication consultant who has worked with numerous governors, presidential candidates, ambassadors, CEO's and leaders worldwide to achieve greater influence through the spoken word.

 

Opportunity:

We are looking for a highly motivated and experienced Executive Assistant with strong writing and organizational skills. The ideal candidate will manage both professional and personal tasks, allowing the CEO to focus on driving key organizational initiatives.

This is a full-time, salaried position with hybrid work in our CEO’s home studio in Mill Valley, California.

 

Key Responsibilities:

  • Calendar Management: Effectively manage and organize the CEO's professional and personal schedule, ensuring timely meetings and appointments.
  • Email Communications: Monitor and draft emails on behalf of the CEO. 
  • Travel Coordination: Work with a dedicated travel agent to ensure seamless coordination for professional and personal travel.
  • Meeting Preparation: Work closely with the Chief of Staff to prepare agendas, documentation, and briefings for meetings attended by the CEO, ensuring all necessary materials are readily available and he is well prepared. Join key meetings and calls to track next steps, offer logistical support, and provide contextual clarity when needed.
  • Technology Assistance: Troubleshoot technology glitches and teach the principal how a given technology works and suggest best practices.
  • Document and Resource Management: Organize and manage important documents, files, and records, ensuring easy access and retrieval. Create and manage an index of writings, notes and thoughts as a resource to our larger team.
  • Confidentiality: Uphold a high level of discretion and confidentiality in handling sensitive information and matters related to the CEO and executive leadership.
  • Prioritization and Time Management: Prioritize tasks and responsibilities effectively, ensuring the CEO's time is optimized for maximum productivity.
  • Special Projects: Assist with special projects and initiatives in support of the Executive Committee, contributing to the successful execution of key business objectives.
  • Personal: Assist with personal tasks and errands as needed and directed by the CEO.

     

Qualifications:

  • Be an excellent communicator in written and verbal form; clear, concise, and with the ability to communicate with audiences at the most senior levels.
  • Thrive in a fast-paced, outcome-focused environment. 
  • Agility in relationship management, able to work successfully with a variety of stakeholders with sometimes competing interests.
  • Be curious and have a high bar for success. 
  • Use logic and take initiative to solve problems with effective solutions.
  • Execute with organization, granularity to detail and clarity.
  • Identify and articulate processes to get things done efficiently and effectively.
  • Be versatile in your skillset, organized, self-motivated and looking to grow.
  • Bring a “what else can I do?” attitude, rather than simply performing the tasks requested.  
  • Grace. Takes direction well and is comfortable adapting to a principal's preferred working style.
  • Experience supporting a founder, CEO, or high-level executive in a fast-paced environment.
  • Comfortable using modern executive support tools (e.g., Google Workspace, Zoom, Webex, Microsoft Teams, and a CRM).

     

Compensation:

This is a full-time, salaried position, with a competitive salary dependent on experience ($110,000 to $130,000/year). Benefits include health insurance, flexible hours, PTO and bonus opportunities.
