Executive Assistant 

We have an opportunity for an Executive Assistant to join our COO organization based anywhere on the West Coast (Pacific Time), reporting to the SVP & CIO. In this pivotal role, you will provide high-trust, proactive support to multiple senior leaders while creating the clarity, organization, and momentum required to advance priorities across Finance, Procurement, IT, and Business Operations. You will own complex travel and meeting coordination, manage schedules across time zones, prepare leaders for important engagements, and ensure decisions and commitments move forward. Success in this role requires a strong sense of urgency, sound judgment, exceptional discretion, and the ability to balance warmth and professionalism in every interaction. You will partner closely with executive leaders, chiefs of staff, other executive assistants, and cross-functional stakeholders. You will also use Microsoft 365, automation, analytics, and approved AI-enabled productivity tools to improve administrative workflows while applying human review, confidentiality, and responsible-use practices. 

Be a Contributor — What You’ll Do 

  • Manage complex executive calendars across multiple time zones, prioritizing strategic commitments, travel, preparation time, and competing requests
  • Coordinate domestic and international travel end to end, including itineraries, accommodations, meeting logistics, expenses, contingency planning, and timely support when travel issues arise 
  • Schedule and coordinate executive meetings, leadership forums, offsites, and special events, using sound judgment to assess priorities and communicate changes 
  • Prepare agendas, presentations, briefing materials, talking points, and other executive-ready content; attend meetings as needed and capture decisions, action items, and follow-ups 
  • Monitor commitments, deadlines, and risks across Finance, Procurement, IT, and Business Operations, escalating changes that may affect executive priorities 
  • Coordinate across multiple senior leaders and their support teams, building strong relationships with other executive assistants to align schedules, coverage, and operating rhythms 
  • Serve as a trusted point of contact for internal and external stakeholders, protecting confidential information and representing leaders with professionalism and discretion 
  • Manage expense reporting, records, distribution lists, contacts, files, and other administrative workflows accurately and in accordance with company practices and information-security requirements 
  • Support operating reviews, budget discussions, procurement decisions, transformation initiatives, and other COO organization priorities through strong follow-through and coordination 
  • Identify and implement practical improvements using Microsoft 365, automation, reporting, templates, and approved AI-enabled tools to increase executive readiness and administrative efficiency

Be Prepared — What You Bring 

  • 5+ years of experience supporting senior executives, C-suite leaders, or equivalent leaders in a fast-paced organization; experience supporting multiple leaders is highly valued 
  • Demonstrated expertise in complex calendar management, domestic and international travel, executive meeting coordination, expense management, and confidential communications 
  • Strong ability to prioritize competing requests, juggle multiple workstreams, anticipate needs, and maintain a consistent sense of urgency during working hours 
  • Excellent written and verbal communication skills, including editing, proofreading, presentation preparation, and the ability to communicate difficult messages with tact 
  • Advanced proficiency with Microsoft Outlook, Teams, Word, Excel, PowerPoint, SharePoint, and OneDrive; familiarity with travel and expense systems is helpful 
  • Practical experience using AI-enabled productivity tools or large language models for research, summarization, drafting, organization, analytics, or workflow improvement 
  • Sound judgment regarding accuracy, privacy, confidential information, and when to apply human review to AI-generated content 
  • Strong relationship-building skills and the ability to collaborate effectively with executive assistants, chiefs of staff, leaders, and stakeholders across geographies and functions 
  • High emotional intelligence, discretion, adaptability, and the ability to balance a personable style with polished executive presence 
  • Experience in enterprise technology or a similarly fast-paced environment is preferred; post-secondary education in business administration, communications, office administration, or a related field is an asset

Six Months: 

  • Establish a trusted operating rhythm with senior leaders, including calendar, travel, meeting preparation, communication, and follow-up practices 
  • Build effective working relationships with key stakeholders across Finance, Procurement, IT, and Business Operations 
  • Demonstrate consistent ownership of action tracking, meeting logistics, confidential information, and time-sensitive requests 
  • Introduce practical improvements to recurring administrative workflows using Microsoft 365, automation, reporting, and approved AI-enabled tools 

One Year: 

  • Operate as a proactive strategic partner who anticipates executive needs and protects time for the highest-impact priorities 
  • Improve visibility and follow-through across COO organization commitments, decisions, and cross-functional initiatives 
  • Establish scalable, well-documented processes for calendar management, travel, communications, meetings, reporting, and information organization
  • Demonstrate measurable gains in administrative efficiency, stakeholder responsiveness, executive readiness, and action-item completion
