What You’ll Do:

RPMG is seeking a full-time Executive Assistant. As the Executive Assistant, you will be responsible for assisting our leadership team and doctors by helping run the day-to-day operations of the office. The Executive Assistant will coordinate meetings and office events, maintain vendor relationships, manage calendars, maintain office supply orders, as well as preparing reports and correspondence as needed.

Key Responsibilities Include:

  • Perform various administrative tasks such as data entry, filing, and proofreading documents.
  • Provide clerical support to leadership.
  • Manage front desk operations, including greeting visitors and answering phone calls as needed.
  • Maintain and update calendars using Outlook Calendar.
  • Assist with scheduling appointments and coordinating meetings.
  • Schedule and plan events for staff birthdays, holidays, and celebrations.
  • Utilize Microsoft Suite and other software programs to create and edit documents.
  • Handle sensitive information with confidentiality and discretion.
  • Prepare reports, presentations, and correspondence as needed.
  • Coordinate travel arrangements and accommodations for executives.
  • Provide excellent customer service to patients, staff, leadership, and vendors.
  • Sort and distribute mail as needed.
  • Maintain relationships with vendors.
  • Assist with new hire orientation and onboarding, ordering badges, and ordering scrubs.
  • Act as a liaison to HR department as needed.
  • Other duties as assigned 

Who You Are:

  • Hold a high school diploma (bachelor’s degree preferred).
  • 2-5 years of customer service experience strongly desired.
  • Must have computer skills, including proficiency in Microsoft applications.
  • Strong organizational skills and attention to detail.
  • Previous experience in women’s health preferred.
  • High level of customer service skills to establish and enhance positive relationships with patients, coworkers, leadership, and vendors/partners.
