Job Description

We are seeking a highly capable, professional, and proactive Executive Assistant to provide dedicated support to our Workers' Compensation Partner.

This is a fully on-site, full-time position based in our Burbank office. The right candidate will be a sharp, solutions-oriented professional who thrives in a fast-paced legal environment, handles competing priorities without stress, goes the distance to ensure everything gets handled, and serves as a trusted extension of the Partner across both business and personal administrative matters.

No workers' compensation experience is required. What we need is someone who brings exceptional judgment, initiative, and a genuine commitment to getting things done.

Key Responsibilities: 

Calendar & Schedule Management:

  • Manage and maintain the Partner's complex calendar, including scheduling meetings, court deadlines, appointments, and personal commitments
  • Proactively anticipate scheduling conflicts and resolve them before they arise
  • Coordinate with internal staff and external parties to confirm, reschedule, and prepare for all engagements

Communication & Correspondence

  • Serve as the primary point of contact for the Partner's inbox triage, route, draft, and respond to emails on his behalf with appropriate tone and professionalism
  • Screen and prioritize phone calls and messages, escalating urgent matters appropriately
  • Draft polished internal and external communications, memos, and correspondence

Liaison & Internal Coordination

  • Act as the communication bridge between the Partner and senior attorneys, staff, and external partners
  • Relay information, gather updates, and follow through on action items on behalf of the Partner
  • Build strong working relationships across the firm's team while maintaining strict confidentiality

Project Management & Follow-Through

  • Track open projects, deadlines, and deliverables across multiple workstreams; proactively follow up to ensure nothing falls through the cracks
  • Assist in coordinating special projects, firm initiatives, and business development activities
  • Prepare meeting agendas, briefing documents, and summaries as needed

Technology & Systems

  • Utilize firm software, CRM tools, and productivity platforms to manage information and workflow efficiently
  • Quickly learn new platforms and tools; proactively suggest tech-enabled improvements where applicable
  • Support document preparation, file management, and data organization

Personal & Administrative Support

  • Assist with personal tasks and errands as directed, including running local errands (valid driver's license required)
  • Manage travel arrangements, reservations, and logistics
  • Handle sensitive and confidential matters with the utmost discretion

Qualifications

Required:

  • Exceptional organizational and time management skills with a demonstrated ability to juggle competing priorities without dropping the ball
  • Strong written and verbal communication skills 
  • Valid California driver's license and reliable personal vehicle
  • Ability to exercise independent judgment and take initiative in a fast-moving environment
  • Tech-savvy with proficiency in Microsoft Office and the ability to learn new platforms quickly

Preferred:

  • Experience in an executive assistant, chief of staff, or senior administrative role supporting C-suite or senior leadership
  • Experience with project management tools and CRM platforms
  • Bilingual (English/Spanish) a plus
