About the Role

We are looking for an Executive Assistant to provide high-level support to our CEO and COO. This person will manage complex calendars, coordinate communications, prepare materials for critical meetings, and act as a trusted right hand to two executives navigating the demands of a fast-growing hard tech company.

This is a high-trust role for someone who anticipates needs before they're voiced, protects executives' time and focus, exercises excellent judgment with confidential information, and thrives on bringing order to a fast-moving environment.

What You'll Do
  • Manage complex, ever-changing calendars for the CEO and COO, including scheduling, prioritization, meeting coordination, and proactively resolving conflicts.
  • Coordinate internal and external meetings end-to-end, including preparing agendas, gathering materials, managing logistics, and ensuring timely follow-up.
  • Arrange all aspects of executive travel, including flights, lodging, ground transportation, detailed itineraries, and expense documentation.
  • Draft, proofread, and manage executive communications, including internal and external correspondence sent on behalf of the CEO and COO.
  • Prepare and organize materials for leadership meetings, board meetings, investor updates, customer visits, and company-wide meetings.
  • Track action items, follow-ups, deadlines, and key priorities across both executives to help keep them organized and accountable.
  • Serve as a gatekeeper and liaison between the CEO/COO and internal teams, external partners, investors, and customers.
  • Handle highly confidential and sensitive information with discretion, professionalism, and sound judgment at all times.
  • Anticipate the needs of the CEO and COO, proactively solving problems and streamlining their day-to-day so they can focus on the highest-leverage work.
  • Coordinate closely with other departments (People, Finance, Recruiting) on behalf of leadership when administrative support is needed.
  • Manage special projects and ad hoc initiatives assigned by the CEO or COO, seeing them through from start to finish.
  • Maintain organized systems and trackers for executive priorities, key relationships, and recurring commitments.
What You Need
  • 3+ years of experience as an Executive Assistant supporting senior leaders, founders, executives, or fast-moving leadership teams.
  • Proven experience owning complex calendar management, scheduling, and cross-team coordination.
  • Excellent organizational skills with the ability to juggle competing priorities across two executives without dropping the ball.
  • High ownership mindset with a strong sense of urgency and follow-through.
  • Outstanding written and verbal communication skills, with sharp attention to detail.
  • Ability to anticipate needs, exercise independent judgment, and solve problems proactively.
  • Comfort operating in a fast-paced startup environment where priorities can shift quickly.
  • Exceptional discretion and professionalism when handling sensitive or confidential information.
  • Strong interpersonal skills and the ability to represent the CEO and COO professionally with internal and external stakeholders.
  • Ability to work onsite full time in Torrance, CA.
Nice to Have
  • Experience in a hardware, manufacturing, aerospace, defense, robotics, or engineering environment.
  • Experience supporting founders, CEOs, or technical executives at a startup or scaling company.
  • Experience coordinating customer visits, investor meetings, board meetings, or executive offsites.
  • Familiarity with tools like Microsoft 365, Slack, Ramp, or similar systems.
  • Experience managing multiple executives simultaneously.
