Job Title: Executive Assistant

Position Summary:
The Executive Assistant plays a key role in supporting the operational excellence and continued growth of the Audit Practice. This position partners closely with Audit leadership to coordinate engagement administration, resource planning, practice operations, and team initiatives, enabling professionals to focus on delivering exceptional client service.
Key Responsibilities:
- Preparing engagement letters and related documentation
- Coordinating conflict checks and client acceptance and continuance procedures
- Setting up new clients and engagements in Aderant
- Coordinating audit confirmations
- Monitoring and tracking client Provided By Client (PBC) requests
- Formatting financial statements and audit reports
- Coordinating report issuance and preparation of bound financial statements
- Maintaining engagement files, electronic workpapers, and client portals
- Maintaining the audit resource management schedule
- Coordinating staffing assignments and schedule updates
- Tracking team PTO, training, and availability
- Monitoring engagement timelines and deadlines
- Identifying scheduling conflicts and recommending solutions
- Supporting busy season staffing and capacity planning
- Preparing workload and utilization reports for leadership
- Maintaining audit playbooks, templates, and standard documentation
- Coordinating LC Vista and other internal training initiatives
- Assisting with technology implementations and process improvements
- Maintaining operational dashboards and reporting
- Coordinating team meetings, agendas, and follow up action items
- Supporting billing administration and workflow enhancements
- Tracking audit quality and SQMS compliance requirements, including engagement quality review needs, independence confirmations, outstanding review notes, required documentation, report release milestones, and archive deadlines to help ensure timely compliance throughout each engagement
- Coordinating recruiting and interview logistics
- Supporting business development efforts, proposals, and marketing initiatives
- Assisting with onboarding of new team members
- Planning and coordinating team meetings, events, and recognition activities
- Supporting client communications and other practice initiatives as needed
Engagement Administration
Support the full administrative lifecycle of audit engagements from client acceptance through report issuance by:
