Marcus & Millichap, one of the nation’s leading commercial real estate investment services companies, with more than 2,000 investment sales and financing professionals across 80+ offices throughout the United States and Canada, is seeking an Executive Assistant/Operations Manager based in our Encino office.

This is an opportunity to join an award-winning senior investment sales team, with significant opportunities for professional growth within one of the nation’s largest commercial real estate investment brokerages. This role will support one of the firm’s top-producing teams and will be responsible for managing the day-to-day operational functions necessary to service an active deal pipeline while also overseeing strategic initiatives that support the continued growth and scalability of the business
 
The base range for this role is $28.00– $48.00 per hour.  Actual pay will be determined by factors such as education, experience, and job-related skills relevant to the role.  Marcus & Millichap is a multi-jurisdictional employer and posted compensation ranges are provided in good faith for compliance with all relevant pay-transparency regulations. 

Responsibilities

  • Preparation of materials required for Pricing Analyses and Offering Memorandums, including financial analysis spreadsheets and written content.
  • Detailed review of all client-facing materials prior to distribution, including Pricing Analyses and Offering Memorandums.
  • Posting and management of marketing materials across multiple online listing platforms and marketing channels.
  • Coordinate with graphic designers to ensure marketing materials are completed accurately and on schedule.
  • Draft professional correspondence to prospective clients and investors.
  • Support marketing initiatives, including preparation and distribution of sales reports and client communications.
  • Work collaboratively with the team on client presentations, meetings, and strategic initiatives to win, execute, and close new business.
  • Conduct research and data collection for Pricing Analyses, Offering Memorandums, and other client deliverables.
  • Create spreadsheets and data tables in both Word and Excel.
  • Prepare all materials and supporting documentation necessary for client meetings and presentations.
  • Provide operational and administrative support to the sales team as necessary.
  • Ensure efficient workflow and communication across the team, maintaining detailed follow-through as required.
  • Oversee, manage, and implement best practices across functions including transaction management, social media, marketing, and business operations.
  • Assist with implementation of brand growth initiatives focused on increasing revenue. 

Qualifications:

  • We are seeking a highly organized, efficient, and detail-oriented professional who thrives in a fast-paced, transaction-driven environment.
  • 3–7+ years of experience in commercial real estate as an assistant or operations manager
  • Proficiency in Microsoft Word and PowerPoint
  • Working knowledge of Adobe InDesign is a plus
  • Solid understanding of Microsoft Excel, including familiarity with spreadsheet formulas
  • Proven ability to work effectively in a collaborative team environment
  • Strong planning, organization, and prioritization skills
  • Ability to manage multiple complex projects simultaneously while working under pressure to meet deadlines
  • Self-motivated, team-oriented, and capable of handling multiple responsibilities concurrently
