The Executive Assistant to the CEO will manage the CEO's calendar, coordinate travel, prepare meeting materials, and serve as a point of contact, ensuring efficient operations and communication within the office.

As the Executive Assistant to the CEO, you’ll be the person who keeps his day running smoothly. You’ll manage his calendar, help him prepare for meetings, coordinate travel, and make sure his time is spent on the things that matter most. You’ll work closely with the Office of the CEO team and will often be the first point of contact for people inside and outside the firm. This is a highly visible role where you’ll get exposure to the firm’s priorities and leadership team.
This role is a way to make a real difference: by making the CEO more effective, you’ll directly contribute to Voleon achieving its goals.
Responsibilities
- Managing the CEO’s calendar and resolving conflicts when priorities compete
- Coordinating travel and logistics, both domestic and international
- Preparing meeting materials and making sure follow-ups don’t fall through the cracks
- Acting as a first point of contact for people reaching out to the CEO
- Handling sensitive information with care and discretion
- Working with the Office of the CEO team to keep operations running smoothly
- Being available outside standard business hours for urgent matters
- Traveling a few times a year to Puerto Rico, NYC, and Berkeley
Requirements
- 5+ years of experience supporting senior executives (C-suite preferred)
- Professional fluency in both Spanish and English
- Willingness and ability to travel quarterly to twice a year
Preferred Qualifications
- Experience supporting a CEO or senior executive in finance, investment, or technology (preferred)
- Familiarity with Puerto Rico business norms (preferred)
- Prior experience working in a remote or hybrid team (preferred)
The base salary range for this position is $90,000 in the location(s) of this posting. Individual salaries are determined through a variety of factors, including, but not limited to, education, experience, knowledge, skills, and geography. Base salary does not include other forms of total compensation such as bonus compensation and other benefits. Our benefits package includes medical, dental and vision coverage, life and AD&D insurance, 20 days of paid time off, 9 sick days, and a 401(k) plan with a company match.
