Job Overview:
We are looking for a highly organized and proactive Executive Assistant/Marketing Coordinator to support multiple real estate businesses across residential, commercial, luxury, and international markets.
This role is focused on coordination, organization, scheduling, and execution rather than content creation. Marketing content, photos, and materials are already prepared—you will be responsible for making sure everything is organized, scheduled, posted, and completed on time across multiple businesses and platforms.
The ideal candidate is a strong doer who can manage competing priorities, learn new systems quickly, and provide dependable administrative and executive support.
Key Responsibilities:
- Coordinate marketing activities across multiple residential, commercial, luxury, and international real estate businesses.
- Organize and schedule existing content across Instagram, Facebook, LinkedIn, and other platforms.
- Manage content calendars and ensure all posts and marketing activities are completed on schedule.
- Organize photos, property listings, marketing materials, and business information.
- Update and maintain real estate listings across various platforms.
- Manage and maintain CRM systems, including Zoho.
- Work with platforms such as SocialPilot, CoStar, and other business and listing systems.
- Provide day-to-day Executive Assistant and administrative support.
- Learn the priorities, processes, and requirements of each business.
- Coordinate multiple tasks and deadlines while ensuring accuracy and consistency.
- Serve as a reliable backup to key team members when needed.
Requirements:
- Proven experience as an Executive Assistant, Virtual Assistant, Marketing Coordinator, or similar role.
- Strong organizational and time-management skills with exceptional attention to detail.
- Experience managing CRMs; Zoho experience is preferred.
- Experience coordinating social media content, schedules, and marketing activities.
- Ability to manage multiple businesses, platforms, and priorities simultaneously.
- Comfortable learning and working with new software and platforms.
- Strong communication and follow-through skills.
- Proactive, dependable, and highly execution-focused.
- Real estate experience is an advantage but not required.
- Able to take existing materials and ensure they are properly organized, scheduled, and executed.
