Job Description Summary:

As Executive Assistant (EA) to the Head of Communications, you will provide high-level administrative and strategic support to ensure the smooth and efficient operation of the Communications leadership office. You will act as a trusted partner by managing schedules, communications and key projects while maintaining confidentiality and professionalism.  You will play a critical role in enabling the Head of Communications to focus on strategic priorities by anticipating needs, coordinating with internal and external stakeholders, and ensuring seamless execution of day-to-day activities. 

Your Key Responsibilities:

Your responsibilities include, but are not limited to:

Executive Support: 

  • Manage complex calendars, travel arrangements, and meeting logistics for the Head of Communications. 

  • Prepare briefing materials, presentations, and reports for internal and external meetings. 

  • Handle confidential correspondence and communications with discretion and professionalism. 

Project Coordination: 

  • Support the planning and execution of key communications initiatives and events. 

  • Track progress on strategic priorities and ensure timely follow-up on action items. 

  • Liaise with internal teams to gather information, coordinate deliverables, and support cross-functional collaboration. 

Stakeholder Management: 

  • Serve as a point of contact for internal and external stakeholders, ensuring timely and effective communication. 

  • Build strong working relationships across the Communications team and broader organization. 

Operational Excellence: 

  • Maintain organized systems for document management, budget tracking, expense reporting, and administrative processes. 

  • Identify opportunities to improve workflows and enhance efficiency within the office of the Head of Communications. 

What you’ll bring to the role:

Essential Requirements:

  • Bachelor’s degree in Business Administration, Communications, or a related field preferred 

  • Fluent in English (written and spoken); additional languages are a plus 

  • Experience and Skills: 10+ years of experience in an executive assistant or senior administrative role, ideally supporting C-level or senior leadership 

  • Experience in a corporate communications or global matrixed environment is a plus 

  • Exceptional organizational and time management skills 

  • Strong written and verbal communication abilities 

  • High level of discretion, integrity, and professionalism 

  • Proficiency in Microsoft Office Suite and collaboration tools (e.g., Teams, SharePoint, Outlook) 

  • Ability to manage multiple priorities and work under pressure 

  • Proactive, detail-oriented, and solutions-focused mindset
