SUMMARY

We are seeking an organized, detail-oriented, and proactive Executive Assistant to oversee day-to-day office operations, facilities, and vendor management, while also providing high-touch administrative support to the Founder, working within the Office of the Chief of Staff. This role sits at the center of the organization, helping to drive coordination, execution, and communication across teams to ensure a smooth and efficient workplace experience.

This person will play a key role in supporting company-wide initiatives, internal operations, and external-facing events such as Yondr Presents. The ideal candidate is an excellent communicator, highly resourceful, and able to operate in a fast-paced, evolving environment while maintaining strong attention to detail and a high bar for execution. This role offers close exposure to company leadership and the opportunity to take on increasing ownership over time as a trusted partner within the Office of the Chief of Staff.

DUTIES AND RESPONSIBILITIES

  • Oversee and coordinate day-to-day office operations, procedures, and resources to ensure optimal organizational effectiveness and efficiency.

  • Provide comprehensive assistant support to the Founder, working within the Office of the Chief of Staff, including scheduling, travel, and meeting coordination, as well as helping to track priorities and ensure follow-through.

  • Support planning and execution of company-wide meetings, offsites, and events; anticipate needs, identify gaps, and ensure seamless coordination across teams.

  • Support external-facing events, including Yondr Presents, by coordinating logistics, managing vendors, tracking materials, and ensuring high-quality execution aligned with Yondr’s brand.

  • Manage office supply inventory, place orders for necessary materials, and ensure proper maintenance of office equipment.

  • Serve as the primary point of contact for internal teams, external vendors, and stakeholders for all office-related needs.

  • Handle all aspects of facility management, including communication with building management, maintenance teams, and service vendors.

  • Establish and maintain streamlined systems for mail, packages, and general office organization.

  • Track and manage inventory of office swag, event supplies, and conference materials.

  • Partner with IT to maintain digital security standards and troubleshoot technical issues as they arise.

  • Ensure compliance with workplace health, safety, and security protocols.

  • Serve as the face of Yondr, welcoming and assisting all visiting guests.

  • Maintain confidentiality of highly sensitive information.

QUALIFICATIONS

  • Strong organizational and project management skills, with the ability to manage multiple priorities and drive execution.

  • Excellent verbal communication and interpersonal skills; able to build relationships at all levels of the organization.

  • Strong bias to action; takes initiative, moves quickly, and proactively solves problems without waiting for direction.

  • Proficiency in standard office software (e.g., Google Workspace, Microsoft Office) and comfort with basic IT troubleshooting.

  • Resourceful and proactive problem-solver with strong attention to detail.

REQUIREMENTS

  • Proven experience as an Executive Assistant, Office Manager or similar role (3+ years preferred), ideally in a fast-paced or high-growth environment.

  • Experience supporting senior executives and coordinating cross-functional initiatives is strongly preferred.

  • Ability to lift and carry items such as office supplies, packages weighing up to 20 pounds.

  • Must be able to stand, walk, bend, and reach as needed to perform tasks such as organizing supplies, managing office operations, and supporting events.

  • This is a full-time, in-office position based in our Los Angeles office. The Executive Assistant is expected to be on-site four days a week during standard business hours.

Compensation Range: $70K - $80K
