Location: Virginia, Brisbane

Contract: 12 month - FTC

About the job

As an Executive Assistant, you will provide high-level administrative and operational support to our Commercial (Sales) and Performance Analytics teams. Acting as a trusted partner, you will help ensure priorities are coordinated effectively, communication flows seamlessly and leaders can focus on delivering business impact. This role is central to enabling team productivity, fostering collaboration and ensuring the smooth execution of key initiatives across both functions.

  • Support senior leaders by coordinating activities, priorities and business operations across multiple teams.
  • Enable efficient communication and collaboration between stakeholders, helping teams stay aligned and focused.
  • Manage sensitive information with professionalism, discretion and sound judgment.
  • Help drive productivity through effective planning, organisation and execution of day-to-day activities.
  • Contribute to a collaborative, high-performing culture by anticipating needs and proactively resolving challenges.
  • Support the successful delivery of business priorities in a fast-paced and evolving environment.
Main responsibilities
  • Manage complex calendars, scheduling, travel arrangements and meeting logistics for senior leaders and teams.
  • Coordinate leadership meetings, team forums and business reviews, preparing agendas, presentations, minutes and follow-up actions.
  • Support annual planning cycles, key projects and team initiatives by tracking deliverables and coordinating stakeholders.
  • Maintain clear and effective communication across internal teams and external partners where required.
  • Prepare, format and manage business documents, reports, presentations and other administrative materials.
  • Handle confidential information with a high level of discretion and professionalism.
  • Identify opportunities to improve administrative processes, team coordination and overall operational efficiency.
About you
  • Experience providing executive, administrative or operational support within a fast-paced business environment.
  • Strong organisational skills with the ability to manage multiple priorities and deadlines simultaneously.
  • Excellent written and verbal communication skills, with a strong attention to detail.
  • Demonstrated ability to handle confidential information with professionalism and sound judgment.
  • Proficiency in Microsoft Office applications, including Outlook, PowerPoint, Word and Excel.
  • Strong stakeholder management skills with the ability to build positive working relationships across different teams.
  • A proactive approach, with the ability to anticipate needs, solve problems and work independently.
