How We Hire
At VentureCopilot, we don't hire assistants. We build Copilots. The Executive Partner role is our upgrade on the traditional EA: part executive assistant, part project manager, on the direct path to Chief of Staff.
You own the calendar, the follow-ups, the projects, and the moving pieces that keep a founder's business running. This is judgment work, not task work.
Think of the EA title as where you start. Copilot is who you become.

Think of it as two roles in one: the day-to-day command of an executive assistant and the ownership of a project manager. Master both and you're on the direct path to Chief of Staff, which is exactly where this role is built to take you.
Who you'll work with
Our founders are consultants in tech and marketing, podcasters, and lean teams scaling fast. They're small enough that your work has visible impact from week one, and ambitious enough that there's always more to grow into. They aren't looking for help on a one-off project. They want a long-term partner who grows with them.
Role Overview
As an Executive Partner (Copilot), you're the operational backbone for the founder you support. You blend executive support with operational coordination, acting as the central hub that keeps communication, tasks, and projects moving forward.
The right person is proactive, highly organized, and comfortable managing up to senior leadership. You thrive in fast-moving environments, anticipate needs, and make sure nothing slips through the cracks across systems, meetings, and workflows.

Tasks

A typical Copilot's work breaks down roughly like this:
Executive Support & Administrative Management — ~35%
* Manage your founder's calendar, scheduling, and daily priorities across time zones
* Coordinate travel logistics: flights, accommodations, transport, and meetings
* Organize internal and external meetings
* Handle professional and occasional personal administrative tasks
* Keep the founder's schedule aligned with what matters most
Operational Coordination & Task Management — ~30%
* Act as the central coordinator for key tasks and projects
* Track priorities, deadlines, and deliverables across the team
* Follow up with people to make sure commitments get done
* Spot blockers and risks early, and escalate proactively
* Maintain operational visibility so the team stays aligned and productive
Systems & Workspace Management — ~20%
* Maintain and optimize the founder's workspace (Notion, ClickUp, or similar)
* Track project updates, task ownership, and company-wide priorities
* Keep documentation and workflows current as the business evolves
* Support the founder in maintaining a clear operational dashboard
Meeting & Information Management — ~10%
* Turn meeting discussions into structured, owned tasks
* Join calls to capture action items and summarize key outcomes
* Brief the founder on takeaways, priorities, and next steps
Team Enablement & Operational Support — ~5%
* Facilitate team access to the founder for decisions and approvals
* Help with onboarding logistics for new team members
* Support process improvements as the company grows

Requirements
What we're looking for
Must-haves
* 2+ years in executive assistance, operations coordination, or chief-of-staff style support
* Proven experience managing calendars, travel logistics, and complex scheduling
* Exceptional organization and task management, with the ability to juggle multiple priorities
* Excellent written and spoken English
* Professional, and comfortable interacting with senior leaders
* Proactive, anticipatory, and solutions-oriented
* Comfortable managing up and holding a team accountable
* High attention to detail and discretion with sensitive information
* Confident on professional calls and video meetings
* Wants a long-term role, not a short project
Nice-to-haves
* Experience supporting founders or executives in startups or small high-growth teams
* Familiarity with operational documentation and knowledge management systems
* Experience with AI productivity tools or automation platforms
* Additional languages such as French or Arabic
* Background in operations, project coordination, or chief-of-staff work
Tools you'll likely use
Google Workspace, Notion, and project management tools like ClickUp or Trello, plus AI productivity tools you'll be trained on.
You don't need to know all of them on day one, but you should pick up new tools fast.
