Executive Assistant to the CEO

Location: San Francisco, CA (in-office)

As we grow, our CEO needs a trusted right hand to help him operate at the highest level. That's where you come in.

The Role: As the Executive Assistant to the CEO, you'll be the operational backbone of our CEO's day-to-day life, owning his calendar, travel, communications, and the countless behind-the-scenes details that keep him focused on what matters most: building Vizcom. This is a high-trust, high-context role that blends classic EA work (calendar, travel, expenses) with strategic coordination (board meetings, investor relationships) and light personal support. You'll be one of the first people he talks to in the morning and one of the last at night, and you'll have a front-row seat to how an AI startup gets built. The ideal candidate is unflappable, anticipatory, discreet, and obsessed with making the people around them more effective.

How You'll Do It:

  • Own and prioritize the CEO's calendar - balancing internal meetings, customer and investor commitments, deep work blocks, and personal time

  • Coordinate complex domestic and international travel, including flights, accommodations, ground transportation, and detailed itineraries

  • Manage board meeting logistics end-to-end: scheduling, materials prep coordination, dinners, travel for board members, and follow-up communications

  • Serve as a thoughtful liaison between the CEO and investors, board members, customers, and the broader Vizcom team

  • Draft, proofread, and send communications on the CEO's behalf with a tone that matches his voice

  • Process expenses, reimbursements, and credit card reconciliations in a timely and organized way

  • Handle personal and lifestyle support including errands, appointments, household coordination, and family scheduling as needed

  • Anticipate needs before they're voiced

  • Maintain absolute discretion with confidential business, financial, and personal information

  • Partner with broader operations leadership on cross-functional projects and CEO-led initiatives as they arise (you’ll be working closely with our Head of People & Culture as well as our VP of Finance & Operations)

What You'll Bring:

  • 4-6 years of experience as an Executive Assistant, ideally supporting a CEO, founder, or other C-suite executive

  • Experience in a high-growth startup environment, where priorities shift quickly and there's no playbook

  • Exceptional written and verbal communication skills, with strong judgment about when to write vs. call vs. text

  • Mastery of Google Workspace, Slack, and modern productivity tools - bonus points for an interest in AI-powered workflows

  • Comfort with ambiguity and a bias toward action; you'd rather ship something 90% right than wait for 100%

  • Discretion and emotional intelligence - you know what to share, what to hold, and how to read a room

  • Willingness to be on-call for time-sensitive issues outside of standard business hours when needed

  • Based in the San Francisco Bay Area and able to work in-office alongside the CEO

The salary for this role is between $125K - $145K, depending on experience. This role is eligible for equity.
