You’ll ensure the CEO’s time, focus, and attention are dedicated to the most important priorities.

This is not a traditional administrative role. It’s a high-trust, high-autonomy position at the intersection of strategy, operations and execution - reporting to the Director of Program & Operations. Ideal for someone who thrives in fast-moving environments, anticipates needs before they arise, and builds systems that scale leadership impact.

You Have
  • 4+ years supporting a C-level executive (ideally a CEO / co-founder) in a high-growth tech startup

  • Mastery of calendar architecture across multiple timezones - you proactively sequence priorities, buffers and decision windows

  • Proven ability to triage inboxes, route communications, and craft succinct, high-quality emails, memos, and briefings that reflect executive voice and tone

  • Strong stakeholder management. You can influence without authority, keep multiple executives aligned, and maintain momentum across cross-functional priorities

  • Demonstrated project and program management skills, owning multi-step initiatives end-to-end and ensuring deadlines are met

  • Experience building systems and SOPs to reduce friction and improve clarity in fast-paced organizations

  • Discretion and sound judgment when handling sensitive information

  • Strong command of Google Workspace, Slack, Notion, and basic dashboarding in Google Sheets or Notion

  • Experience managing board materials, investor communications, or confidential executive projects

  • A bias for action, calm under pressure, and a growth mindset. Equally comfortable handling strategic projects and hands-on execution

  • Flexibility to work with significant overlap to Pacific Time, with occasional after-hours support during peak periods

You Will
  • Create leverage for the CEO - plan the week, protect focus time, prioritize strategic work, and sequence decision-making effectively

  • Run executive communication by managing inbox and message routing, draft and edit communications, and ensure follow-ups are completed

  • Drive meeting excellence through thoughtful agendas, clear pre-reads, concise notes, well-documented decisions, and consistent follow-through

  • Operationalize clarity by building systems and workflows that reduce noise, accelerate decision-making, and keep the CEO and leadership team focused on top priorities

  • Partner with the Director of Program & Operations to design and maintain operating cadences such as leadership meetings, company planning sessions, and cross-functional reviews

  • Prepare high-quality briefings and summaries for the CEO ahead of key meetings, investor discussions, and public appearances

  • Support strategic initiatives by coordinating special projects, tracking progress on commitments, and identifying trade-offs or bottlenecks before they escalate

  • Represent the CEO in asynchronous communications and interactions with internal and external stakeholders when appropriate

  • Manage complex travel and event logistics to ensure seamless execution of itineraries, budgets, and post-trip follow-ups

  • Continuously evolve the operating system around the CEO, improving how information flows, decisions are made, and priorities are executed across the organization
