About the role

We are hiring a CEO Executive Assistant to partner directly with our co-founder and CEO, Andrew Dai. Located in our Palo Alto office five days a week, this role is designed for an operator who wants true ownership over executive execution and operations.

Beyond calendar and travel management, you will run the operational tempo of the CEO’s office—triaging high-priority initiatives, driving cross-functional alignment, and building scalable internal workflows. We are looking for a proactive, high-judgment professional who takes end-to-end accountability for executive outcomes and thrives in a fast-paced tech environment.

What you will do

Executive Operations & Time Strategy

  • Calendar & Priority Architecture: Take complete ownership of the CEO’s time—proactively aligning calendar allocation with quarterly business priorities across internal teams, board members, investors, and key commercial partners.

  • Executive Inbox & Gatekeeping: Serve as the first filter for executive communications—independently triaging messages, handling routine queries, drafting executive responses, and escalating high-value matters.

  • Travel & Complex Logistics: Architect seamless end-to-end travel itineraries, founder schedules, and high-priority logistics, anticipating shifts and troubleshooting in real time.

  • Meeting Intelligence & Preparation: Ensure the CEO is prepared for every engagement by driving agenda creation, synthesizing briefing materials, capturing key decisions, and tracking action items across participants.

Operational Cadence & Strategic Projects

  • Leadership Team Cadence: Drive the rhythm of executive business—owning the agendas, decision-tracking, and operational follow-through for leadership meetings, offsites, and board communications.

  • Internal Communication & Alignment: Help draft, refine, and broadcast key internal updates, CEO announcements, and stakeholder communications to ensure alignment across the company.

  • Systems & Workflow Automation: Build, maintain, and continuously refine executive operational systems, deploying AI tools and automation to streamline recurring workflows and decision tracking.

  • Cross-Functional & Strategic Support: Lead high-priority operational projects as they arise, acting as a flexible problem-solver for the CEO across fundraising, recruiting, and special initiatives.

What we are looking for
  • Relevant Experience: 5+ years of total professional experience, with at least 2+ years supporting C-suite executives (ideally CEOs/Founders) or high-level leaders in fast-paced environments (tech startups, finance, consulting, or professional services).

  • Extreme Ownership: Proven track record of operating independently, taking projects from zero to completion, and anticipating needs before they arise.

  • High Business Acumen & Discretion: Ability to absorb context quickly, exercise sound judgment on prioritization, and maintain confidentiality on sensitive company and investor matters.

  • Exceptional Communication: Clear, concise, and structured written and verbal skills, capable of representing the CEO to investors, candidates, and internal leads.

  • Process & Tool Fluency: Highly organized with a natural instinct to build simple, repeatable systems and workflows.

  • On-Site Presence: Ability to work on-site in our Palo Alto, CA office five days a week.

  • Modern Toolstack & AI Leverage: Active experience using modern productivity tools, AI platforms, automation (e.g., Zapier/Notion/Slack), and workflow software to multiply personal leverage.
