We are looking for a highly organized, proactive, and discreet Executive Assistant to the CEO who will provide high-level executive and personal support while also overseeing the day-to-day management of the office.

This is a hands-on, high-trust role that requires excellent judgment, strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced startup environment.

Responsibilities

Executive & Personal Support to the CEO

  • Manage the CEO’s complex calendar, meetings, travel, and day-to-day priorities.
  • Handle sensitive and confidential information with a high level of discretion.
  • Support the CEO with personal and administrative matters, including coordination with personal staff and service providers.
  • Act as a trusted gatekeeper and point of contact for internal and external stakeholders.
  • Anticipate needs, identify priorities, and proactively resolve issues before they arise.
  • This role requires flexibility and a high level of responsiveness. Occasional availability outside of standard business hours, including evenings and weekends for urgent matters, is expected.

Office Management

  • Own the day-to-day operations and overall experience of the office.
  • Create a welcoming, collaborative office environment and help build office culture
  • Manage office vendors, suppliers, facilities, and service providers.
  • Ensure the office is well organized, functional, and welcoming for employees and guests.
  • Provide a smooth onboarding experience for new team members
  • Collaborate with HR to update and maintain office policies, ensuring they are current and effective 
  • Collaborate on the US office Operations budget, ensuring smart and efficient use of resources
  • Manage agendas/travel arrangements/appointments, etc. for management

Employee Experience

  • Own employee experience initiatives, including planning and executing company events, offsites, SKOs, holiday celebrations, and team-building activities.
  • Foster a positive and engaging office culture through employee wellbeing and workplace experience programs.
Requirements

What We’re Looking For

  • +3 years of proven experience as an Executive Assistant, preferably supporting a senior executive or CEO.
  • Exceptional organizational and time-management skills.
  • High level of discretion, maturity, and judgment.
  • Strong communication and interpersonal skills.
  • A proactive, hands-on approach with the ability to anticipate needs and solve problems independently.
  • Comfortable managing both executive priorities and operational details.
  • Ability to work in a fast-paced, dynamic startup environment.
  • Strong attention to detail and a “can-do” attitude.

Salary range: 90-120$K OTE
