About the role

We're looking for an Senior Executive Assistant and Office Manager to support our CEO and keep the office and employees running smoothly. You'll coordinate day-to-day operations, manage logistics, and keep the workspace organized, while supporting leadership with scheduling, communication, documentation, onboarding, HR/payroll administration, and immigration. The ideal candidate is resourceful, detail-oriented, and wants more business ownership than what a traditional EA job offers. Note this requires being on-site at our office in South Park 5 days/week.


What you'll do
  • Executive Support

    • Manage the CEO's inbox: draft and respond to routine correspondence on his behalf.

    • Manage the CEO and CTO's calendars and scheduling end to end, including making sure they get to meetings on time.

    • Coordinate travel logistics, meeting prep, and follow-ups.

    • Draft and maintain internal documents, reports, and presentations as needed.

    • Take on ad hoc tasks that free up time (you're looking for ways to lighten the load, not just executing a fixed list)

  • Recruiting & Onboarding

    • Coordinate our hiring pipeline such as scheduling interviews

    • Generate offer letters and manage new-hire paperwork.

    • Own onboarding logistics end to end so new hires have a smooth start.

  • HR & Immigration

    • Own HR administration in Rippling, including payroll processing and handling compliance requests (EDD audits and similar) as they come up.

    • Own immigration end to end: sponsorship strategy, timelines, and the direct relationship with our outside immigration counsel.

    • Offboarding logistics.

  • Office Management

    • Oversee everyday office operations and keep office space running smoothly (supplies, vendors, facilities)

    • Serve as the point of contact for employees on office-related questions.

    • Organize and execute team offsites and onsite gatherings (venues, travel, catering, activities, and budgets)

  • Internal Process Support

    • Help keep recurring internal processes running such as meeting logistics, notes, and follow-up tracking for leadership touchpoints.

    • Flag process inefficiencies and help streamline workflows as we scale.

  • Who You Are

    • 6+ years in executive support, office management, HR/people operations, or similar, bonus if you've been at a fast-growing startup.

    • Type A in the best sense: organized, proactive, and on top of the details.

    • Comfortable owning work with real compliance stakes (payroll, immigration, HR administration)

    • Strong written and verbal communication skills.

    • Technically proficient with Google Workspace, Slack, Zoom, and HRIS/ATS tools (we use Rippling and Ashby).

    • Prior exposure to immigration processes (H-1B and similar) is a real plus, not a requirement

    • Friendly, approachable, proactive in anticipating needs, and comfortable saying no on the CEO's behalf when it protects his time.

    • High ownership, low ego about scope. This role spans strategic-feeling work and unglamorous logistics, and you're equally good at both..

Compensation Range

$124,000-$183,000/year plus equity
